A Weigh Slip records the weighing of an incoming vehicle load, optionally matched to a purchase order.
Before you start
Access to Weigh Slips is controlled by the View, Create, and Edit permissions for Weigh Slips (each as all records or own records — own records means records you created). You need View to see the list and a profile, and Create to record a weigh slip.
The Weigh Slips list
Open Warehouse > Weigh Slips. The list only shows weigh slips you have permission to view.
| Column | Notes |
|---|---|
| Truck number | The vehicle's registration number. |
| Customer | The customer the weigh slip is for. |
| In weight | The recorded weight on entry. |
| Out weight | The recorded weight on exit. |
| Status | The weigh slip's status. |
Weigh slips have no Custom ID column and no reference number — unlike the other document types in this module, weigh slips aren't given a sequence number.
The toolbar shows a Create icon when you hold the Create permission for Weigh Slips.
Record a weigh slip
- From the Weigh Slips list, select the Create icon.
- Complete the fields below.
- Save the weigh slip.
| Field | Required | What to enter |
|---|---|---|
| Purchase order | No | The purchase order this load is against, where one exists. |
| In time | No | When the vehicle arrived. |
| In weight | No | The vehicle's weight on entry. |
| Truck number | No | The vehicle's registration number. |
| Container number | No | The container number, where applicable. |
| Seal number | No | The seal number. |
| Reference number | No | Free text. |
| Driver name | No | The driver's name. |
| Driver mobile | No | The driver's mobile number. |
| Driver ID | No | The driver's ID number. |
| Description / Notes | No | Free text. |
There is no Custom ID field and no Auto toggle on this form, matching the lack of a reference number described above.
What happens when you save
OCTO Ops creates the weigh slip with the details you entered. You return to the weigh slip's profile.
The weigh slip profile
Opening a weigh slip from the list shows its profile, with the vehicle and weight details, and an Items table of stock scanned onto this weigh slip.
The Items table is read-only and shows "No items scanned yet" until items exist — there is no way to add or scan an item directly from this page.
The toolbar shows the Create icon (to start another weigh slip) and a Print option, each only when you hold the matching permission.
Print a weigh slip
Open the weigh slip's profile and select Print. This opens the weigh slip in a printable format.
Non-PO receipts
Stock received without a matching purchase order line can be labelled and added to a weigh slip through a separate process, generating zero-quantity stock labels for each unit as they are scanned. This is not reached from the pages described above.
Your organization has a Weight entered is gross weight setting under Module settings, but it currently has no effect on how weigh slip weights are interpreted.
Current limitations
- There is no add or scan control on a weigh slip's profile — the Items table is read-only, and scanning happens through a separate process outside these pages.
- There is no way to record a vehicle's exit — out-time or out-weight — from these pages in this version, even though the application otherwise supports recording it.
- There is no Edit control on the Weigh Slips screens, and no Delete control either.
- The Weight entered is gross weight setting has no effect on how weigh slip weights are interpreted in this version.
