Moving stock

Move stock to another bin, whole or in part, and mark damaged stock where it is, from the Warehouse scan screens.

On this page 8

Two scan screens look after stock once it is on the shelves: Move takes goods to another bin, and Mark damaged flags goods that are damaged where they are.

Before you start

You need Warehouse › Scan › View all and Warehouse › Stocks › Edit. Placing stock outside its product's or brand's bins when your organization enforces put-away rules also needs Warehouse › Stocks › Override location. Owners and Admins can do all of this.

Moving by scan works only in a warehouse with location management turned on. Marking damaged works in any warehouse.

Move stock

  1. On the scan menu, select Move.
  2. Scan goods: scan the stock label. The screen shows the product, batch, expiry, where it is now and its condition (for example Saleable or Awaiting put-away). For goods awaiting put-away (in the receiving bay or not yet in any bin), or damaged goods, it also suggests bins.
  3. Choose Whole unit to move everything on the label, or Part and type how much to move.
  4. Scan the new bin. When nothing is wrong with the bin, the move is saved straight away and the screen says, for example, "Moved 40 tablets to A1-1B".

Moving part of a unit

Moving part of a unit makes the moved part a new stock unit with its own code; what is left keeps the original label. After a part move the screen offers Print label for the moved part and Reprint label for what's left (you need Warehouse › Stocks › View). Stick the new label on the moved goods so they can be scanned later. A carton keeps its carton number on what is left; the moved part becomes a loose (line) unit.

A part takes up to 3 decimal places. Some units move whole only, and Part can't be chosen for them; the screen says why under the quantity:

  • A serial product's unit: "A serial unit is moved whole."
  • A quantity stored in an old format: an earlier version of OCTO saved the unit's quantity in a format that can't be split. "This unit's quantity is stored in an old format, so it is moved whole."
  • A quantity that doesn't add up: the quantity left on the unit doesn't match what it received less what has been taken from it, usually after a correction made outside the warehouse screens. Splitting it would change the stock figures, so it moves whole: "This unit's quantity doesn't add up, so it is moved whole." Ask whoever looks after your stock records to check the unit.

Most older units, including those whose quantity an earlier version saved as text, can be split as usual.

Where stock can go

Goods Bins they can go to
Not damaged Saleable, receiving and damage bins of the same warehouse
Damaged Damage bins only

Dispatch, returns and quarantine bins are refused, and so is a bin in another warehouse ("Use a transfer."): moving stock between warehouses is a Transfer.

Moves into saleable bins follow the same rules as putting stock away: a bin that belongs to another brand or product, or that is full, is off plan. With the Suggest rule you select Confirm to move it there anyway; with Enforce, only someone with Stocks › Override location can, by entering a Reason and selecting Confirm override. The reason is kept with the stock's history. Moving goods out of a receiving bin, or goods that were not in any bin, into a saleable or damage bin counts as a put-away.

Moving into a damage area

Moving goods that are not damaged into a damage bin marks them damaged, with the reason "Moved to a damage area". There is no separate step.

Mark stock damaged

  1. On the scan menu, select Mark damaged.
  2. Scan goods.
  3. Tap the reason: Broken packaging, Leaking, Contaminated, Temperature excursion, Expired, Recalled or Other. For Other, say what is wrong with it; for the others a note is optional.
  4. Choose Whole unit or Part and the quantity.
  5. Select Mark damaged.

The screen confirms "Marked damaged. Move it to the damage area when you can." and offers Move now, which opens Move for those goods. Marking part of a unit splits it like a part move: the damaged part stays in the same bin as a new unit, and Print label prints its label.

As with a move, a part takes up to 3 decimal places, and a unit that moves whole only (a serial product's unit, a quantity stored in an old format, or a quantity that doesn't add up) is marked damaged whole only.

The reason, note, who marked it and when show on the stock's Lookup. Damaged stock can't be marked again. It waits on the Damaged stock list for a decision — return to vendor, scrap or repair; a repair puts it back on sale (see Damage and disposition).

{bin} is being counted. Try again when the count of this bin is finished. A stock count is counting the bin the stock is in or the bin you chose, so Move won't move stock into or out of it. Try again when that bin is finished, or after an hour without a scan. Old pages and 3PL are not held; the count catches their changes when it is reviewed.

Current limitations

  • You can't move everything in a bin at once, or start by scanning the bin.
