Cashier records a receipt — a point-of-sale style bill against a customer, for example for handling or storage paid at the counter. A receipt is created in one step; there is no preview stage.
Before you start
- You'll need a customer to bill, and usually a payment method account already set up.
- You need the View permission for Cashier (own records or all records) to see the list and open receipts. You need the Create permission for Cashier to create one. Team owners and admins always have access.
- There is no Edit or Delete permission for Cashier.
The receipts list
Open Container Depot > Cashier. Columns: ID (opens the receipt), Date (also opens the receipt), Customer (opens the customer when one is set, otherwise "-"), Memo, Items (number of billed line items — the closing "Cash" line isn't counted), Value, Payment Method, Status. Sorted by Date, newest first.
There are no export buttons; use the table's own search — which also matches the customer, payment method and status names — and paging controls (10, 25, 50, 100, 150, or All rows per page). When your organization has business units, the list gains a Business unit column, the ID shows the legal entity's prefix when there is one (PH-7), and the funnel icon opens a filter with Business unit: All business units, your main business only, or a unit with its sub-units; without a choice, the list starts with the unit chosen in the header, named in the card title. Typing PH-7 in the search box finds only that legal entity's receipt 7.
Select the create icon on the toolbar to start a new receipt.
Create a receipt
- Select the create icon from the Cashier list.
- Set the Date. Defaults to today.
- Set the Time. Defaults to the current time.
- Leave Receipt ID on Auto to have OCTO Ops assign the number, or uncheck it and type your own.
- Choose a Payment method from your organization's payment method accounts.
- Choose the Customer. This is required — if you select Create receipt without one, you'll see "Missing customer" / "Please select a customer for this receipt."
- Optionally enter a Name/memo.
- Optionally choose an MLO (shown by code only, not name).
- Optionally enter a BL Number.
- Add the product line items being paid for. At least one is required — if you select Create receipt with none added, you'll see "Empty items" / "Please add at least one item to the invoice."
- When your organization has business units, check the Business unit. It starts with the unit chosen in the header.
- Optionally enter Description and notes.
- Select Create receipt.
With Auto, the receipt takes the next number after the highest one already used in its series: cashier receipts share one number series with every invoice — Container Depot invoices, Finance invoices and invoices raised from sales orders — so receipt numbers skip the numbers those invoices took. With business units, a receipt of a unit that is, or sits under, a separate legal entity is numbered in that entity's own sequence.
Unlike invoices, there's no separate preview step and no confirmation prompt — selecting Create receipt saves it immediately. On success you'll see the toast "Your record has been saved successfully" and the new receipt opens. If a field fails validation, the invalid fields are marked and you'll see "Check your records before submitting this form again."; the same message appears for other failures.
View a receipt
Open a receipt from the list to see its profile page, headed Receipt: {receipt number}. It's laid out as a document: RECEIPT with your organization's legal name and address (from Settings → Modules → System) on the right — for a receipt of a unit that is, or sits under, a separate legal entity, that entity's legal name and address — then Receipt #, Date, BL# and Status, then Customer, MLO (code and name) and Name/Memo. Below that, a line-items table (SKU, Item, Memo, Qty, Total) — the closing "Cash" line every receipt carries is not shown here. The footer shows Subtotal, a Tax row (always "0.00" — see Current limitations), and Total. With business units, the receipt also shows its Business unit, and the heading's number carries the legal entity's prefix.
The toolbar's Print icon opens the printable receipt.
Print a receipt
Select the toolbar's Print icon on a receipt's profile page. The printable receipt shows Date, Number, your organization's VAT and SVAT registration numbers (if set under Finance settings; not printed for a receipt of a unit that is, or sits under, a separate legal entity, whose tax ID is on its letterhead), Name/Memo, MLO and BL# (each if set), and Customer information — name, contact person, address, the customer's VAT/SVAT registration numbers and credit period (each if present) — followed by the product lines (SKU, Item, Memo, Quantity, Unit cost, Total), a footer with Discount, Sub total, a row for each tax stored on the receipt, and Total, and a signature line. Status is not shown on the printed copy.
If a receipt has no Date recorded, the print shows the date it was created instead. If it has no receipt number, the print shows the last eight characters of its internal record ID instead.
Every Container Depot print opens with a dark bar at the top that isn't printed: Switch to Dot Matrix (or Switch to Regular) changes the layout for the kind of printer you're using — dot-matrix mode uses larger monospaced type and ruled table lines — and the print icon opens your browser's print dialog. Prints use legacy OCTO Ops' own print layout and type, across the full width of the page. The team's default printer type is set under Settings → Modules → System. Below the bar, your organization's letterhead (logo, name, address and contact details, in one of three layouts) is printed when it's turned on for this document under Settings → Modules → Letterhead. With business units, the receipt carries its business unit's letterhead, and its Number carries the legal entity's prefix.
Errors you may see
| Message | Why | What to do |
|---|---|---|
| "Missing customer" / "Please select a customer for this receipt." | No Customer was chosen when you selected Create receipt. | Choose a customer and try again. |
| "Empty items" / "Please add at least one item to the invoice." | No product line items were added. | Add at least one line item and try again. |
| "Check your records before submitting this form again." | The save request failed validation or hit another error. | Review the form for invalid or missing values and try again. |
| "Choose an active business unit." | The chosen unit was deactivated, or is not one of yours. | Choose another unit, or your main business. |
| "Business units are not set up for this organization." | A business unit was sent, but your organization has no active business units. | Leave the field empty, or set up business units first. |
Current limitations
- A save can be briefly refused. If someone else is saving an invoice or receipt at the same moment, you see "Another document in this series is being numbered right now. Try again in a moment." Nothing is saved, and saving again a moment later works.
- Receipts can't be edited or deleted. There's no Edit or Delete action for this module — once a receipt is saved, it is fixed.
- Tax is never added to the total. Tax fields are stored on the receipt, but the total always equals the subtotal, and the profile page always shows "0.00" for tax.
- OCTO Ops does not link a cashier receipt to a Discharge List entry, even though the two can relate to the same container movement.
