Asset Categories

Build the category hierarchy and define defaults used by asset records.

Categories organize the Asset Registry and support dashboard and report breakdowns. A category can stand alone or sit below another category to form a hierarchy.

Category information

Each category has:

  • a required unique code;
  • a required name;
  • an optional parent category;
  • an optional default depreciation method;
  • optional default maintenance interval in days;
  • optional default warranty period in days; and
  • an optional default inspection checklist reference.

Defaults make registration more consistent. They do not replace the need to check the values on an individual asset or to create a reusable checklist in Inspection Checklists.

Create a category

  1. Open Asset Management > Asset Categories.
  2. Select Create Category.
  3. Enter a short, meaningful code and category name.
  4. Select a parent if this is a subcategory.
  5. Enter any defaults used by your organization.
  6. Save the category.

The new category becomes available in Asset Registry, inspection checklist category selection, audit scope filters, dashboards, and asset reports.

Create a useful hierarchy

Use broad parent categories and specific children when reporting needs both views. For example:

  • IT Equipment
    • Laptops
    • Monitors
    • Network Equipment
  • Event Equipment
    • Lighting
    • Audio

Avoid creating separate categories for temporary conditions or locations; use asset status and location for those dimensions.

Find, review, and edit a category

  1. Search or sort the category list.
  2. Open the required category to review its details and hierarchy.
  3. Select Edit.
  4. Update the name, parent, or defaults.
  5. Save the changes.

Changing a category default helps future data entry but does not recalculate existing asset records.

Current limitation

The application API supports category deletion, but the current end-user page does not provide a delete action. Treat categories that are already in use as permanent master data and rename or restructure them carefully.
