Transfer requests

Raise a request to move stock from one warehouse to another, and fulfil it as a transfer.

On this page 8

A Transfer request is a request to move stock from one warehouse to another. Fulfilling one creates a Transfer against it.

Before you start

  • Set up at least two Warehouses before creating a transfer request.
  • Access to Transfer requests is controlled by the View, Create, and Edit permissions for Transfer requests (each as all records or own records — own records means records you created). You need View to see the list and a profile, and Create to raise one.

The Transfer requests list

Open Warehouse > Transfer requests. The list only shows transfer requests you have permission to view.

When your organization has business units, the list shows the transfer requests of the unit chosen in the header, and the card title names it. Select the filter (funnel) icon to choose All business units, your main business only, or another unit with its sub-units. The Custom ID carries its legal entity's prefix when it has one (PH-1), and a Business unit column is added.

Column Notes
Custom ID The request's reference number.
From The originating warehouse.
To The destination warehouse.
Items The number of line items on the request.
Date The request date.
Status One of Pending, In Progress, Completed, or Canceled.

The toolbar shows a Create icon when you hold the Create permission for Transfer requests.

Raise a transfer request

  1. From the Transfer requests list, select the Create icon.
  2. Complete the fields below.
  3. Add product line items using the line item editor.
  4. Save the request.
Field Required What to enter
From warehouse Yes The originating warehouse.
To warehouse Yes The destination warehouse.
Business unit No Shown only when your organization has business units. It starts with the From warehouse's owning unit, else the unit chosen in the header; choosing another From warehouse moves it until you choose a unit yourself.
Name No Free text.
Description / Notes No Free text.

If you reach this form from a Material request, the form is pre-filled and linked to that material request.

What happens when you save

  • OCTO Ops creates the request with a status of Pending.
  • If you created the request against a material request, that material request is marked as having a transfer request created for it and its own status changes to Completed — creating a transfer request against a material request closes it.
  • A request of a business unit that is, or sits under, a separate legal entity is numbered in that entity's own sequence.
  • You return to the request's profile.

The transfer request profile

Opening a transfer request from the list shows its profile, with its From and To warehouses, line items, date, description, and status. With business units, it shows the Business unit.

The toolbar shows the Create icon (to start another transfer request), only when you hold the Create permission.

Note

An Edit icon was intended for this page but does not currently appear.

Fulfil a transfer request

A transfer request is fulfilled by creating a Transfer or a Pick list against it, reached from the transfer request. Either one carries the request's warehouses and line items across automatically. A transfer created from a request — on the transfer form or by scanning with the handheld — belongs to the request's business unit.

Errors you may see

Message What to do
Choose an active business unit. Choose another unit, or your main business.
Business units are not set up for this organization. Leave the field empty, or set up business units first.

Current limitations

  • There is no Edit control on a transfer request's profile in this version, even though an edit icon was intended for it.
  • There is no Delete control on the Transfer requests screens in this version.
  • There is no Print control on the Transfer requests screens.
  • A defect carried over from the legacy system means a transfer request's line items can, in some circumstances, resolve back to the wrong linked transfer record internally. This does not affect what you see on the request itself and is a known defect kept for parity, not a new one.
