Accounts is your chart of accounts — the list of accounts that Invoices, Bills & Payments, Journals, and Credit Notes post their debit and credit lines to, and that payment methods are chosen from when recording a payment.
Before you start
- You need the View permission for Accounts to see the list and open accounts. Unlike the other Finance submodules, Accounts only has a single View permission that shows every account — there's no separate "own records" option, because the chart of accounts is shared across the whole organization.
- You need the Create permission for Accounts to create one, and the Edit permission to change one. There's no Delete permission or control for accounts.
Team owners and admins always have access.
The accounts list
Open Finance > Accounts. Columns: Number, Name, Type. Sorted ascending by Number. Select a row to open the account.
There's no search or filter beyond the table's own search box, and no export buttons.
Select the create icon on the toolbar to start a new account.
Create an account
- Select the create icon from the Accounts list.
- Choose the Account type.
- Enter a Name.
- Optionally enter a Number.
- Optionally choose a Parent account.
- Optionally enter Description and notes.
- Select Create account.
| Field | Required | What to enter |
|---|---|---|
| Account type | No | A classification for the account, chosen from your team's account types. |
| Name | Yes | Always saved in capitals, whatever case you type it in. |
| Number | No | An account number. |
| Parent account | No | Another account this one sits under. |
| Description and notes | No | Free text. |
Nothing stops you from choosing an account as its own parent, directly or through a chain of other accounts. Choose parent accounts carefully.
View an account
Open an account from the list to see its profile page: number and status, Name, Description, Account type, and Parent account (when one is set). Select Edit to change the account.
Edit an account
- Open an account and select Edit.
- Change any of the same fields as Create, pre-filled with the account's current values.
- Select Save changes.
On success, a toast reads "Account updated successfully" and you're returned to the account's profile page.
Current limitations
- There's no way to delete an account from this screen, or anywhere else in the application.
- Accounts aren't classified by financial statement category (asset, liability, equity, revenue, or expense) — the Account type you choose is a general label only.
- Nothing prevents an account being set as its own ancestor through the Parent account field.
- Settings > Module settings > Finance's currency configuration doesn't give an account its own currency — every account and document uses your organization's single base currency in this version. See Module settings.
