Overview gives you a snapshot of your organisation's current stock: how fresh the figures are, a set of key counts, and a short list of exceptions worth checking. It is read-only.
Freshness
At the top of Overview, Balances, and the lots page behind a balance is a banner reading "Figures as of … · refreshed hourly · last full check …":
- Figures as of is when the figures were last refreshed. Refreshes run hourly.
- Last full check is when the figures were last fully reconciled against your stock records.
- A warning appears when the last refresh didn't complete, or when the figures haven't been refreshed for over two hours.
Not prepared yet
If your organisation's figures have never been prepared, Overview (and Balances) show "Inventory figures haven't been prepared for your organisation yet." instead of the usual content. An administrator starts this once; until then, use Warehouse for your stock.
Figures that need checking
When any stock has an unresolved issue, a "Figures that need checking" card lists the issue reasons in plain language with how many lots (stock records) each affects — not how many lines — for example, a quantity or a movement that couldn't be read, a lot's history being incomplete, or a line's total being too large to show.
Count cards
Six cards summarise your current stock:
- Products in stock
- Stock lines
- Lots
- Owned lines
- Customer-owned lines
- Lines with picked stock
Exceptions
An exceptions table lists:
- Negative balances — lines whose on-hand quantity is below zero.
- Unallocated reductions — stock taken out with no lot recorded, shown against the Unassigned store.
- Expired or expiring by [date] — lines whose earliest expiry is on or before the date 30 days from today. This includes stock that has already expired.
Links into Balances
The count cards and the exceptions table link into Balances, pre-filtered to match, but only for users who can view Balances. Users without that permission see the counts without a link.
