Station overview

Open Fuel Station Management › Overview. You need Overview › View all, and each card needs the permission for what it counts; a card you cannot see is left out, and with none the page says "There is nothing to show here for your access yet."

Choose From and To (it starts with the current month) and select Show, or This month. A period is limited to a year: "Choose a period of up to a year."

Card Needs What it shows
Today, Period Sales › View Litres and value of recorded dispenses today (in your team's timezone) and in the period; View sales opens the list.
Top clients Sales › View The five clients with the most value in the period.
Overdue invoices Invoices › View How many invoices are still owed after their due day, and the amount; View invoices opens the list.
Open disputes Invoices › View Invoices the client disputed and dispenses disputed before invoicing; View disputed dispenses opens the filtered sales list.
Payments to confirm Payments › View How many payments clients advised and the amount; Review payments opens the page.

The sales cards count only the dispenses your permission shows you (with View (own), only those you recorded; a member limited to some sites, those sites). Voided dispenses never count.

Station reports

There are five reports under Reports › Fuel Station. They use the common report tools described in Reports: the filter drawer opened with the funnel icon, and the Copy, CSV, Excel, PDF, Print and Column visibility buttons above each table. The Fuel Station Reports page lists a report only if you hold the permission for it, and the pages open only for a fuel station team.

The Fuel Station Reports page itself Any Fuel Station Management permission

The drawer has From and To (the current month by default; a period is limited to a year: "Choose a period of up to a year.") and, with business units, a Business unit filter and column. Select Filter and run report. A report reads your own sales, invoices and payments only, never another station's. Amounts and litres follow the team's number settings.

Sales

Litres and value grouped by Client, Site, Fuel type, Day or, with business units, Business unit (the Group by choice in the drawer). Columns: the grouping, Dispenses, Litres, Value and Average unit price, with a total line. Only recorded dispenses count. With business units, the Business unit filter narrows it to the sales of that unit (a sale takes its site's unit).

Uninvoiced dispenses

Recorded dispenses of the period not yet on an invoice, one row per client (with business units, per client and unit, with a Business unit column): Dispenses, Litres, Value, Oldest (the date of its oldest dispense) and how many are Disputed. With none: "Every dispense in this period is on an invoice." Use it to see what to invoice.

Invoices and payments

Invoices dated in the period, one row each: Invoice, Date, Due (with an Overdue badge), Client, Business unit, Invoiced (the original total), Credited, Paid, Outstanding, Status and Payment. Paid counts payments you have confirmed.

Receivables ageing

What clients owe as at today, one row per client: Invoices, 0-30 days, 31-60 days, 61-90 days, Over 90 days and Total, counted from each invoice's date, with totals. The client's name links to its account. With business units, the Business unit filter narrows it; the report has no period. With none: "No client owes anything."

Disputes

Disputes raised in the period: the client's disputed invoice lines with your answer, and dispenses disputed before they were invoiced. Columns: Raised, Client, Invoice ("Not invoiced" for a dispute on a dispense), Business unit, Receipt, Reason, State (Open, Credited, Returned to client or Accepted), Answered and Reply. A dispense disputed before invoicing shows the unit of its site.

The client's report

The client's side has its own report, Bills by station, under Reports › Fuel.

Current limitations

  • A report covers at most a year, except Receivables ageing, which is as at today.
  • Reports show recorded amounts; there is no export of the dispense schedule, but the invoice and each statement can be printed.
