Gate Passes

Print the gate pass for an outward and understand what the Gate Passes permission controls.

On this page 4

A gate pass is a printable pass for a container leaving the depot. It's generated from the outward record for that container — there's no separate gate pass record to create.

Before you start

You need the View permission for Gate Passes to open a gate pass print — either covering all records, or covering your own records if you're the one who registered that outward.

  1. Open the outward for the container leaving the depot (see Outwards).
  2. Open the toolbar's Actions menu and select Gate Pass.
  3. Review the pass. The page heading reads Gate Pass: {container number}. On the left: Container Number, MLO, ISO Code, Booking Number, Seal Number, Ex Vessel (the vessel the container arrived on), Load Vessel, Shipper, Cargo, Driver Name and Driver ID. On the right: Date, Time, Status (the container's current condition), Vehicle Number, Release Order Number and Outward Number. Below: "Received above mentioned container in good order" and three signature lines — Checked by Officer Signature, Driver/Representative Signature and Checked by Security Signature.
  4. Select the print icon.

The gate pass opens as a plain page without the usual OCTO Ops menus. Every Container Depot print opens with a dark bar at the top that isn't printed: Switch to Dot Matrix (or Switch to Regular) changes the layout for the kind of printer you're using — dot-matrix mode uses larger monospaced type and ruled table lines — and the print icon opens your browser's print dialog. Prints use legacy OCTO Ops' own print layout and type, across the full width of the page. The team's default printer type is set under Settings → Modules → System. Below the bar, your organization's letterhead (logo, name, address and contact details, in one of three layouts) is printed when it's turned on for this document under Settings → Modules → Letterhead.

Business units

When your organization uses business units, the gate pass prints the letterhead of the outward's business unit: its logo, company name, address and legal details, each taken from the unit above it, and then from your organization, when the business unit has none. The Outward Number shows its legal entity's prefix, for example PH-7. An outward on your main business prints as before.

Current limitations

Note

Gate Passes has no list, create, or edit pages of its own in this version — the print reached from an outward's profile is the only working screen. The Create, Edit, and Delete permissions for Gate Passes exist but have no effect anywhere in OCTO Ops; only View does anything, and what it controls is access to this print.
