A Warehouse is a physical location where stock is held. Setting one up, with its zones and racks, is a prerequisite for using every other Warehouse submodule.
Before you start
Access to Warehouses is controlled by the View, Create, and Edit permissions for Warehouses (each as all records or own records — own records means records you created). You need View to see the list and a profile, Create to register a warehouse, and Edit to change one or add zones and racks.
The Warehouses list
Open Warehouse > Warehouses. The list only shows warehouses you have permission to view.
| Column | Notes |
|---|---|
| Name | The warehouse's name. |
| Location | The warehouse's location. |
| Status | The warehouse's status. |
| Business unit | The warehouse's owning business unit, or your organization (main business). Shown only when your organization has business units. |
The toolbar shows a Create icon when you hold the Create permission for Warehouses.
When your organization has business units, the list starts with the business unit chosen in the header (a unit includes its sub-units) and the card title names it. Open the filters (the funnel icon) to choose All business units, your main business only, or another unit. The business unit features on this page apply only to organizations that have business units.
Register a warehouse
- From the Warehouses list, select the Create icon.
- Complete the fields below.
- Save the warehouse.
| Field | Required | What to enter |
|---|---|---|
| Warehouse code | No | Free text. |
| Warehouse name | Yes | The warehouse's name. |
| Location | No | The warehouse's location. |
| E-mail address | No | A contact e-mail address for the warehouse. |
| Description | No | Free text. |
| Owning business unit | No | Shown only when your organization has business units. The business unit this warehouse belongs to; it starts with the unit chosen in the header. Choose your organization (main business) for none. |
What happens when you save
OCTO Ops creates the warehouse with the details you entered, and you return to its profile. Unlike the other document types in this module, a warehouse's reference is stored exactly as you entered it in Warehouse code — OCTO Ops does not generate one for you.
Edit a warehouse
- Open the warehouse's profile and select Edit.
- Update the fields — the same as registration.
- Save your changes.
You can change the owning business unit at any time; a unit that has since been deactivated stays selectable, marked (inactive).
Editing requires the Edit permission for Warehouses.
The warehouse profile
Opening a warehouse from the list shows its profile, with its details and two cards listing its Zones and Racks separately.
The toolbar shows the Create icon (to start another warehouse) and the Edit icon, each only when you hold the matching permission. Warehouses is the only submodule in this guide where the Edit icon currently appears.
With business units, the profile shows the Owning business unit.
The profile's side panel also shows Location management (On or Off) and, when you hold Warehouse › Locations › View all, a Locations link that opens the Locations list for this warehouse.
Add a zone
- From the warehouse's profile, start creating a zone.
- Enter the zone's details.
- Save it.
Adding a zone requires the Edit permission for Warehouses.
Add a rack
- From the warehouse's profile, start creating a rack.
- Enter the rack's details, including the number of shelves and columns, and how you want the resulting bins numbered (numerically or alphabetically, in your chosen direction).
- Save it.
When you save with both shelves and columns set, OCTO Ops automatically generates the full grid of bin locations inside the rack, using the numbering scheme you chose. The rack's page then shows this generated grid of bins read-only — bins are not added or edited individually. When you hold Warehouse › Locations › View all, each bin's name on the rack's page opens its location profile.
Adding a rack requires the Edit permission for Warehouses.
Errors you may see
These appear under the Owning business unit field.
| Message | Why | What to do |
|---|---|---|
| Choose an active business unit. | The chosen unit was deactivated or is not one of yours. | Choose another unit or the main business. |
| Business units are not set up for this organization. | A unit was sent but your organization has no active business units. | Set up business units first, or leave the field empty. |
Current limitations
- There is no Delete control on the Warehouses screens in this version.
