Reservations

Reserve incoming stock for a 3PL customer, and release or remove reserved items.

On this page 7

A stock reservation sets aside incoming stock for a 3PL customer before it arrives. It's listed in the 3PL menu as Stock reservations.

Before you start

  • Add the customer first, under Customers — the reservation form's Customer field is required.
  • Any member of an organization with the 3PL module enabled can open and use this page; there's no separate permission for viewing, creating, editing, releasing, or removing a reservation or its items.
Important

A stock reservation can only set aside future, incoming stock — product/warehouse/batch/quantity lines that don't exist as stock yet. There's no way to reserve stock that's already in your warehouses; see Current limitations.

The Stock reservations list

Open 3PL > Stock reservations.

Column Notes
ID The reservation's reference number.
Customer The customer the stock is reserved for.
Name The reservation's name.
Date The reservation's date.
Status The reservation's status.
(View) Opens the reservation's profile.

The list sorts by ID, descending, by default. There's no search box, no filters, and no export on this list.

The toolbar shows a create icon.

Create a reservation

  1. From the Stock reservations list, select the create icon.
  2. Fill in the fields below.
  3. Add reserved items as needed — leave the grid empty if you just want to record the reservation itself.
  4. Save.
Field Required What to enter
Customer Yes The customer the stock is reserved for.
Name No A name for the reservation.
Date No The reservation's date.
QC name No The name of whoever quality-checked the reservation.
Description No Free text.

Reserved items is a repeatable grid below the fields, with an Add item control and a trash icon to remove a row. Each row has:

Field Required (if the row is present) What to enter
Product Yes Filtered to the chosen customer's 3PL products, or every 3PL product if no customer is chosen yet.
Warehouse Yes Any of your warehouses.
Batch No The batch reference.
Package number No The package number.
Qty Yes The quantity to reserve.

The grid shows "No items added yet." until you add a row.

What happens when you save

OCTO Ops assigns the reservation the next reference number automatically, gives it a starting status, and creates one item for each reserved-items row you added. You're returned to the reservation's profile with the toast "Reservation created successfully".

Edit a reservation

  1. Open the reservation's profile and select Edit.
  2. Update Name, Date, QC name, or Description.
  3. Add new reserved items using the same grid as Create — existing items aren't listed or editable here; any rows you add here are appended as new items alongside the existing ones.
  4. Save.

On success you see "Reservation updated successfully" and return to the profile.

The reservation profile

Opening a reservation from the list shows its profile.

  • Reservation details — Customer, Date, Status, and Description (only shown if present) — all read-only.
  • Reserved items — Product, Warehouse, Batch, Qty, Released, and Utilized (Yes/No) for each item, with two actions per row:
    • Release (hidden once the item is fully utilized): opens a prompt pre-filled with the item's current quantity. Enter the quantity to release and confirm. The quantity is added to the item's released total; once the released total reaches the item's full quantity, Utilized switches to Yes. You see the toast "Item released successfully" and the items table refreshes in place. The release prompt only collects the quantity — it doesn't ask for a QC name or remark, even though the record can hold them.
    • Remove: asks you to confirm "Remove this item?", then permanently deletes the item — there's no undo. You see the toast "Item removed successfully" and the items table refreshes in place.

Current limitations

  • Reservations can only be made for future, incoming stock. There's no way to search for and reserve stock that's already in your warehouses.
  • There's no screen to edit an existing reserved item's quantity or remark — only Release or Remove are available.
  • Removing a reserved item is permanent; there's no way to undo it.
