Reading the help centre

The /help site is public and does not require an OCTO Ops account. Use a current version of Chrome, Edge, Firefox, or Safari with JavaScript enabled. A reliable internet connection is recommended because the navigation, search, and application workflows load content dynamically.

The layout is responsive and can be read on a phone or tablet. A desktop or laptop is recommended for data-heavy Asset Registry, audit, and reporting work.

Using OCTO Ops

To carry out the procedures described in this guide, you need:

  • an OCTO Ops user account;
  • a verified email address;
  • an active membership in the organization you want to work in; and
  • Asset Management enabled for that organization and your user access.

Asset Management currently has no operation that is restricted to only Owner, Admin, Manager, or Member roles. An active organization member who can access the module can use its current workflows. No Asset Management workflow is exclusive to Guest or Customer users.

Organization data to prepare

Complete these shared records before entering a large asset register:

  • Categories for reporting and optional default depreciation, maintenance, warranty, and checklist values.
  • Locations for warehouses, stores, offices, branches, sites, vehicles, holding areas, repair centres, and scrap yards.
  • Users if assets, inspections, audit teams, or requests will be assigned to named people.
  • Departments in Settings if assets will be associated with departments.
  • Jobs and consignees if reservations and consignments will be linked to operational jobs.

Files and downloads

The Asset Registry accepts multiple file attachments through the asset profile. Make sure the browser is allowed to select local files and that the organization permits the type and size of file being uploaded. Report exports require the browser to allow downloads.

If a screen does not show an expected module or action, first confirm the selected organization, membership status, module access, and any prerequisite record described on that help page.
