Sales is where a deal is tracked from a first opportunity through to a confirmed order ready for fulfilment, alongside consignments and sales returns handled separately.
The sales cycle
- An opportunity records a potential sale you're pursuing.
- It's built into a quotation — priced line items, issued as a numbered version, and revised as needed.
- Once the customer accepts, convert it to an order — a one-time, irreversible step that creates a draft sales order.
- Confirming the order re-checks its totals, runs a credit check, and checks stock availability, reserving what it can. Passing all three moves the order to Confirmed.
- From there, fulfilment and invoicing are owned by other modules and are still being built out.
Consignments and returns are a separate document family — goods sent to a customer and later returned — and sit alongside this cycle rather than inside it.
Sales overview
Open Sales > Overview for a starting point: it shows three link cards — Opportunities, Quotations, and Sales orders — and nothing else. There are no figures, charts, or counts on this page.
Access
Sales is governed by permission groups with five submodules — Opportunities, Quotations, Orders, Consignments and Returns. The first four offer View (all or own), Create and Edit (all or own); Returns offers View only. "Own" means records you created or that are assigned to you as the salesperson. There is no Delete permission, because Sales has no delete control. Owners and Admins have every permission, and in an organization that has no active permission groups every member keeps full access.
- Opportunities also covers leads.
- Quotations › Approve discount lets you approve or reject a discount that needs approval, as long as you can also open the quotation with View (you still can't approve your own request). It also approves or rejects an order amendment that falls below the margin floor, together with Edit on the order; Quotations › Void lets you void a quotation, together with Edit on it.
- Converting a quotation to an order needs Orders › Create and Edit on the quotation; invoicing an order needs Edit on the order as well as Finance's invoice Create; returning consignment items needs Consignments › Create and Edit on the consignment.
- Orders › Override a credit hold and Orders › Override a stock shortfall let a member confirm an order anyway when it is over the customer's credit limit or short of stock; they also need Edit on the order. Owners and Admins have both. In an organization with no active permission groups, only Owners and Admins can override.
- Orders › Cancel or close a sales order lets a member cancel or close an order short; it also needs Edit on the order. Owners and Admins have it, and in an organization with no active permission groups every member who can edit an order can.
- Orders › Release a sales order hold lets a member release an order's hold; it also needs Edit on the order. Owners and Admins have it, and in an organization with no active permission groups every member who can edit an order can. Putting an order on hold needs only Edit.
- Orders › Amend a sales order lets a member amend a confirmed order and withdraw an amendment waiting for approval; it also needs Edit on the order. Owners and Admins have it, and in an organization with no active permission groups every member who can edit an order can.
- The overview page opens with any Sales permission. Price books, bundles, configuration rules and guided-selling questions stay Admin-only.
Business units
When your organization has business units, quotations, sales orders and consignments each belong to one. New ones start with the unit chosen in the header, and you can change it on the form. A sales order converted from a quotation belongs to the quotation's unit, and a consignment return to its consignment's. The lists filter by Business unit (starting with the header's choice) and show a Business unit column; profiles show the unit. A document of a unit that is, or sits under, a separate legal entity is numbered in that entity's own series with its prefix, for example PH-12; the quotation PDF carries that unit's letterhead. Opportunities and leads have no business unit.
What you can do
- Track a deal as an opportunity.
- Build and issue quotations, priced from price books, with bundles, checked against configuration rules, built with guided selling, and shared with the customer through quotation customer access.
- Convert an accepted quotation to an order.
- Confirm an order, including its credit check and stock availability check.
- Create and review sales orders directly.
- Issue and settle consignments.
- Review sales returns.
Admin setup
Team admins configure Sales pricing and rules under Settings > Module settings > Sales:
- Price books — tiered, effective-dated pricing.
- Bundles — fixed-price product groups.
- Configuration rules — required and excluded product combinations.
- Guided selling — the question set used to narrow down products.
Quotation customer access isn't configured in Settings — it's the document link a rep sends from an issued quotation for the customer to review and accept.
Current limitations
- POS, Contracts, and Work Orders appear in the Sales navigation but have no screens in this version — see POS, Contracts, and Work Orders.
- Opportunities cannot be edited once created.
- Sales returns cannot be created — Returns is read-only.
- The Sales overview page shows no figures; it's link cards only.
