OCTO Ops Help User guides and product documentation

Module settings

Configure the System, Categories, Business units (SBUs), Finance, HR, Marketing, Stores, 3PL, Reports, Asset Management and Sales settings your organization sets up once and everyone else works from.

On this page 33

Module settings hold the organization-wide configuration behind most of OCTO Ops: System defaults, reference categories, sizing, stock behaviour, Finance, HR, Marketing, Stores, 3PL billing, Reports and Sales. These are set up once for the whole organization, not per record.

Before you start

Note

There's no screen anywhere in Settings to turn individual OCTO Ops modules on or off. Which modules your organization has is decided outside this UI.

Note

Saving almost every screen on this page shows no confirmation message — the page reloads with your changes kept, so treat that as success. Categories, Business units (SBUs) and Warehouse settings are the exceptions: Categories shows a "Category created successfully" / "Category updated successfully" toast, Business units (SBUs) show a toast on every save and delete, and Warehouse settings shows "Warehouse settings saved."

Any active member of your organization can open and save nearly every screen described here. Five groups of screens are the exception:

  • Assets registry, below, needs its own View permission for Asset Registry (all or own records) — the same permission that governs the Asset Management module. Without it, both the page and the export are blocked, and an own-scoped grant only exports your own assets.
  • Business units (SBUs), below, is for Owners and Admins only.
  • Warehouse settings, below, is for Owners and Admins only.
  • Fleet settings, Fleet lists and Fuel settings, below, are for Owners and Admins only.
  • Sales pricing, along with Price books, Bundles, Configuration rules and Guided selling, are for Owners and Admins only. Sales Opportunities and Orders, in the same card, are open to any active member.

Reach Module settings

  1. Open Settings.
  2. Select Module settings.
  3. Choose a screen from one of its cards:

Price books, Bundles, Configuration rules and Guided selling each have their own guide — see Other Sales settings below. The Containers card is documented on its own page — see Container Depot module settings below.

System

Select System in the General card.

Field What it does
Legal name Saved but has no effect in this version.
Address Saved but has no effect in this version.
Tax ID Saved but has no effect in this version.
VAT number Saved but has no effect in this version.
Timezone Your organization's timezone. Sets the time the daily digest of deleted records is emailed to owners and admins (7am in this timezone) — see Deleting records in the Container Depot guide.
Date format Used for date formatting on the Customers screens, when the team member viewing them hasn't set their own Date format in Preferences.
Print date format Saved but has no effect in this version.
Header style Saved but has no effect in this version.
Default printer type Saved but has no effect in this version.
Enforce permissions Saved but has no effect in this version. Despite its label, turning it off does not change how permissions are enforced anywhere in OCTO Ops — permissions are controlled from Permissions instead.

Under Numbers and currency, choose how amounts are written. A Preview under the fields shows a sample total with your choices before you save. In this version these settings apply to the Purchasing screens (purchase orders and quotations) the Products screens (products and price groups) and the Sales screens (opportunities, quotations, orders, consignments and returns), the Fleet Management screens (distances, hours and amounts on vehicles, inspections and readings) the Fuel Management screens (litres, economy and amounts on fills, quotas, requests and reports) the Finance screens (invoices, bills and their payments, journals and credit notes, and the invoice balance check) and the Asset Management screens (the dashboard's value figures, and an asset's acquisition cost, current book value and disposal value); other modules still show amounts with two decimal places and no thousands separator.

Field What it does
Thousands separator The symbol between each group of three digits: Comma (1,000, the default), Period, Space, Apostrophe, or None.
Decimal symbol The symbol before the decimals: Period (0.50, the default) or Comma. It can't be the same as the thousands separator.
Currency decimal places How many decimal places amounts show, from 0 to 4. Defaults to 2. Amounts are rounded for display only; what is saved doesn't change.
Currency label position Whether the currency (for example LKR) goes in front of a total (the default) or after it. The label is your Base currency from Finance settings, and only totals carry it; line amounts show the number alone. Until a base currency is set, totals show no label.

Select Update settings to save.

QR codes

Select QR codes in the General card. Only Owners and Admins can open and save this screen.

Labels can carry a web link in their QR code, so that a phone camera opens the label's page directly. This screen decides what happens when someone opens that link and which QR format labels start on. It has one block of settings for each kind of record your organization has the module for: Assets, and, with Warehouse, stock units and bin locations. An organization without Warehouse sees only Assets.

Setting What it does
When the link is opened Show info to anyone: a page with the record's identifying details, with no sign-in needed. Show info to signed-in users: the sign-in page first, then the label's page. Open the record page (the default): the sign-in page first, then straight to the record.
Labels start on GS1 (the default) or URL. This is the QR format a label screen starts on; the person printing can still change it for a print.

Select Save settings. Settings for a kind of record your organization does not have are left as they were. See what a phone shows for the result of each choice.

Letterhead

Select Letterhead in the General card.

Field What it does
Logo Image file. Shown above the input once uploaded. Printed on the quotation PDF header.
Legal name* Required. Printed on the quotation PDF header, and as the company name at the top of every document that prints a letterhead; until it is set, those documents print your organization's name. This is a separate setting from System's own Legal name field above — changing one does not change the other.
Address line 1* Required. Printed on the quotation PDF header.
Address line 2* Required. Printed on the quotation PDF header.
City* Required. Printed on the quotation PDF header.
Zip Saved; no confirmed use elsewhere.
State Printed on the quotation PDF header.
Country Printed on the quotation PDF header.
Mobile Saved; no confirmed use elsewhere.
Telephone Saved; no confirmed use elsewhere.
Email Printed on the quotation PDF header.
Business registration number Optional. Printed in the registration and tax line of the letterhead on every document that prints one. A document of a legal-entity business unit prints that unit's details instead.
Tax ID label Optional. How the tax number is named on the letterhead, for example VAT No or TIN; "Tax ID" if empty.
Tax ID Optional. Printed with the registration number in that line.

Select Save letterhead to save. Unlike the other screens on this page, saving Letterhead doesn't redirect — the page reloads in place with your new values, still with no confirmation message. Saving leaves settings this page doesn't show, such as which documents print a letterhead, as they were.

Note

An uploaded logo over 1 GB is rejected: the page shows "The logo could not be saved." with the message "Files must be 1 GB or smaller."

Categories

Select Categories in the General card.

  1. Choose a Scope — the type of category you want to work with.
  2. The table lists that scope's categories: Name, Code, Parent, Description, and Status.
  3. Once a scope is chosen, a New category card appears below the table.
Field What it does
Name* Required.
Code Optional.
Parent category Optional. A dropdown of the categories currently listed for this scope; defaults to "No parent".
Description Optional.
Status Active or Inactive. Defaults to Active.

Select Create category to save. On success, a "Category created successfully" toast appears and the form clears back to its defaults.

Select Edit on a row to change a category. The edit form has the same fields except Parent category, which is a plain text box for the parent's ID rather than a dropdown. Select Save changes to save — a "Category updated successfully" toast appears and you're returned to the list.

Errors you may see

Message Why What to do
"Check your records before submitting this form again." A field failed validation, shown together with inline errors under the affected fields. Fix the highlighted fields and submit again.
"Something went wrong!" An unexpected error occurred while saving. Try again; contact support if it keeps happening.

Locations

Select Locations in the General card: a read-only table of Custom ID, Name and Description. There's no search, filter, pagination, or row links — and no way to add, edit, or delete a location from this screen.

Business units (SBUs)

Business units let you split your organization into divisions or legal entities, with their own letterhead details and document numbers. Select Business units (SBUs) in the General card (Owners and Admins only); the full guide is Business units, including the toasts "Business unit created.", "Business unit updated." and "Business unit deleted." and every error message.

Warehouse settings

Select Warehouse settings in the Warehouse card. Only Owners and Admins can open it. These settings apply to the whole organization.

Field Choices Default What it does
Label level Batch line / Carton Batch line Whether received goods get one label per batch line or one label and stock record per carton. Applies to goods received after the change.
Put-away rule Suggest / Enforce Suggest Suggest shows the bins assigned to the product's brand or product, but any bin can be used. Enforce allows only assigned bins, unless the user has the override permission.
Picking rule Suggest / Enforce Suggest Suggest lets a picker take stock out of the product's picking order with a warning. Enforce refuses it unless the picker holds Issues › Override picking and gives a reason. See Picking.
Approvals Direct / Requires approval, for each of Scrap, Return to vendor, Count adjustment and Repair Scrap and Count adjustment require approval; Return to vendor and Repair are direct Whether the action takes effect straight away or waits for someone with the approve permission.

Select Save settings. Your other Module settings are not affected.

Label level applies to receipts created after the change, and the put-away rule applies to put-away. The picking rule applies to picking.

Approvals for Scrap, Return to vendor and Repair apply when a damage and disposition document is submitted. Count adjustment applies when a stock count is submitted.

Fleet settings

Select Fleet settings in the Fleet card. Only Owners and Admins can open it. These settings apply to the whole organization. Select Save settings at the bottom; a toast says "Fleet settings saved."

Setting Choices Default What it does
Who enters records Staff / Drivers Drivers Staff: office staff enter all readings, inspections and issues; drivers see a note on My Fleet and cannot enter their own. Drivers: drivers enter their own records in My Fleet; staff can still enter for them.
When a critical inspection item fails Flag the vehicle / Take the vehicle out of service straight away Flag the vehicle Flag marks the vehicle with a critical defect and leaves the decision to a manager. The other choice also sets an active vehicle to Out of service. See Critical defects.
Distance unit Kilometres / Miles Kilometres The unit shown for odometer readings, lease allowances and warranty distances. Existing figures are not converted.
Largest believable daily distance 1 to 5000 1500 A distance reading that implies more than this per day since the previous accepted reading is held for review. See Why a reading is flagged.
Largest believable daily engine hours 1 to 24 24 The same check for engine hours.
Meter reading on an inspection Required / Optional / Not asked Optional Whether the inspection's Finish step asks for the odometer and engine hours. See Inspections.
Service is "due soon" within Distance, engine hours and days, each 0 to 100000 500 / 25 / 14 The default "due soon" thresholds for service programmes. A programme can set its own; a box left empty there uses these.
Renewal reminders (days before expiry) Up to six whole days from 1 to 365, separated by commas 30, 14, 7 The default renewal reminder days, used by a renewal type that has none of its own, and copied onto the ready-made types the first time Fleet is opened.
Fleet managers Any active members Nobody Receive fleet-wide notifications: critical defects, expiring renewals and services that become due soon or overdue.
Default issue assignee Any member, or Nobody Nobody Issues raised from a failed inspection item, or reported without an assignee, are assigned to this person.
Text printed on QR labels Registration number / Vehicle name Registration number The text under the code on a vehicle's QR label.

A value outside its range is refused with a message under the field.

The Fleet settings page also has three buttons:

  • Edit vehicle types, groups, renewal types and cost categories opens Fleet lists.
  • Edit inspection templates opens the inspection checklists, described in Inspections.
  • Create Drivers permission group creates (or resets) a permission group named Drivers with My Fleet, own vehicles and driver record, and creating inspections and issues (and, with Fuel Management, My Fuel and the driver's own fuel fills and requests). You then add the drivers to it under Settings › Permissions. See The Drivers permission group.

Fleet lists

Select Fleet lists in the Fleet card. It has four lists. Each row has a name field, Save, and Archive (or Restore for an archived row); the last row of each list adds a new entry (press Enter or select Add). A toast says "Saved", "Added" or "Archived". A list entry is never deleted, because vehicles refer to it; an archived entry is greyed out and no longer offered on forms, but stays on the records that already use it.

List Extra fields Notes
Vehicle types Usage unit: distance, engine hours, both or none; with Fuel Management, Expected economy (lowest – highest) Decides what a vehicle of the type is measured by. The expected economy is the fuel economy Fuel Management expects of the type's vehicles, in distance per litre (litres per engine hour for engine-hour types); a vehicle can override it, and a fill outside it is flagged. Starts with Car, Van, Truck, Bus, Motorcycle, Tractor (both), Forklift (hours), Excavator (hours), Generator (hours) and Trailer (none).
Vehicle groups Inside group Depots, departments or projects. A group can sit under another group but not under itself. Starts empty.
Renewal types Applies to (Vehicle or Driver), Reminder days (up to six, comma separated), Insurance fields Documents that expire. Starts with Registration, Revenue licence, Insurance, Emission test, Fitness certificate, Route permit, Driving licence and Medical certificate. They are used by Renewals.
Cost categories none Starts with Maintenance, Repairs, Tyres, Insurance, Registration & licences, Lease & finance, Fines & tolls, Parking, Washing, Fuel and Other. They are used by Costs.

Names are required and up to 120 characters. The lists are created the first time anyone opens a Fleet screen, and after that are never topped up, so a list you emptied or renamed stays as you left it.

Stock controlling

Select Stock controlling in the General card.

Field What it does
Manage stocks Switch. Combined with Reduction point below, decides when stock is reduced.
Show only available stock Saved but has no effect in this version.
Manage for consignment Saved but has no effect in this version.
Reduction point Plain text, no picklist or hint. Stock is only reduced at invoicing when this is set to exactly invoicing and Manage stocks is also on — any other value, or a blank one, has no effect.

Select Update settings to save.

Default sizes

Select Default sizes in the General card.

Field What it does
Default barcode size One of 30 x 15 mm, 30 x 20 mm, 35 x 25 mm, 40 x 20 mm. The screen's own help text reads "Used when printing barcode labels for assets that don't specify a size."
Default QR code size Same four size choices. Help text: "Used when printing QR code labels for assets that don't specify a size."

Select Update settings to save.

Note

Neither field's help text could be confirmed — no asset barcode or QR code printing screen in this version was found to actually use either setting.

Stores > Weigh-slips

Select Weigh-slips in the Stores card.

Field What it does
Weight entered is gross weight Saved but has no effect in this version.

Select Update settings to save.

3PL billing

Select Billing in the 3PL card.

Field What it does
Storage billable product The product (shown as SKU - Name) that 3PL storage charges are billed against when a storage invoice is generated.

Select Update settings to save.

Marketing email

Select Email in the Marketing card.

Field What it does
Enabled Saved but has no effect in this version.
From name Saved but has no effect in this version.
From address Saved but has no effect in this version.
Driver Saved but has no effect in this version.
Host Saved but has no effect in this version.
Port Saved but has no effect in this version.
Username Saved but has no effect in this version.
Password Saved but has no effect in this version. Placeholder reads "Leave blank to keep unchanged" — see the warning below.

Select Update settings to save.

Warning

Leaving Password blank when you save this screen clears any password you saved previously, even though the placeholder says "Leave blank to keep unchanged." Re-enter the password every time you save if you want to keep it.

None of these fields currently configure an outbound mailer or send a marketing email.

Custom reports

Select Custom reports in the Reports card.

The list is a single explanatory note: creating a report here has nowhere to display it in this version, so there's no list and no create button beyond a link through to a form.

That form shows a single disabled Report type dropdown, shown for reference only — there's no submit button, and nothing can be created from it.

Assets registry

Select Download Asset Registry in the Asset Management card. Reaching this screen needs the View permission for Asset Registry (all or own records); a member without it is blocked from both the page and the export, and an own-scoped grant exports only that member's own assets.

Filter What it does
Location Multi-select. Limits the export to assets at the locations you choose.
Category Multi-select. Limits the export to assets in the categories you choose.
Status Multi-select. Limits the export to assets with the statuses you choose.

All three filters are optional. Select Download as CSV or Download as Excel to download asset-registry.csv or asset-registry.xlsx. Each row includes the asset's ID, custom ID, name, category, location, status, brand, model, serial number, acquisition date, acquisition cost, current book value, and a GS1 barcode identifier. The last column, QR URL, holds the link a URL QR label opens (see QR codes).

Finance settings

Select Finance in the Finance card.

Field What it does
Base currency Your organization's base currency, chosen by country. This is the same base currency the Currencies and Exchange rates screens below use.
Credit period (days) Used by the credit check applied elsewhere in Sales.
Start date Defaults to your organization's own start date if left blank.
Use tax Switch. Turns tax calculation on.
Tax model A plain number field, not a picklist — only certain numbers correspond to a real tax calculation; anything else falls back to a single flat rate. The screen gives no guidance on which numbers are valid.
Show total in words Saved; no confirmed effect elsewhere in this version.
Tax registration number Saved; no confirmed effect elsewhere in this version.
SSCL rate Used in tax calculations.
VAT registration number Printed on Container Depot invoices.
VAT rate Used in tax calculations.
SVAT registration number Printed on Container Depot invoices.
SVAT rate Used in tax calculations.

Select Update settings to save.

Note

Clearing Credit period, SSCL rate, VAT rate or SVAT rate and saving stores them as empty, not zero.

Currencies

Select Currencies in the Finance card.

Use the Add currency card to choose a Currency and select Add currency. Below it, a read-only Team currencies table lists every currency you've added, by Code and Name — there's no edit or delete on this screen.

Exchange rates

Select Exchange rates in the Finance card. The list has one row for every date from your organization's start date up to today, newest first, with a column for each of your team's currencies showing that currency's rate on that date (or "-" when none is recorded). Dates shown in red are missing a rate for at least one currency, so you can see at a glance which days still need filling in. Each row has a small Edit button.

The list shows 25 dates per page; use the page numbers under the table to move between pages. Above the table you can narrow the list:

Filter What it does
Search Shows only dates whose date or any rate contains what you type (for example 2026-09 for September 2026, or 1.25 to find a rate).
From date / To date Shows only dates within that range. Either can be left empty.

Select Clear to remove all filters. The footer under the table shows how many dates match and your base currency.

Select Edit on a row to open that date — including a red date with no rates yet: one number field per currency, pre-filled with its existing rate for that date (or blank). Select Save rates to save.

Bulk Edit

To set the same rate on many dates at once, select Bulk Edit in the toolbar at the top of the page. In the window that opens:

  1. Choose the From and To dates (both included).
  2. Enter a rate for each currency you want to set. Leave a currency blank to keep its existing rates untouched.
  3. Select Apply rates.

The rate is saved for every date in the range, replacing any rate already recorded on those dates and filling in any missing ones. A message confirms how many days were updated.

Message Why you see it
The to field must be a date after or equal to from. To is earlier than From.
Enter a rate for at least one currency. Every currency was left blank.
The rate field must be greater than 0. A rate of zero or less was entered.
A bulk edit can cover at most 3,660 days. The range is longer than about ten years — split it into smaller ranges.

Bulk Edit is unavailable until your team has at least one currency (see Currencies above).

HR settings

Select HR settings in the HR card.

Field What it does
Monitor time Saved but has no effect in this version.
Clock in Saved but has no effect in this version.
Clock out Saved but has no effect in this version.
Min hours/day Saved but has no effect in this version.
Min hours/week Saved but has no effect in this version.

Select Update settings to save. No timesheet or attendance feature in this version reads any of these five fields.

Departments

Departments is reached from the HR card's HR settings screen. Unlike the fields above, departments are real records used elsewhere in OCTO Ops — on assets, on project team assignments, and in the Cost by department report.

The list shows Code, Name, Location, Manager, an Active badge, and Edit/Delete actions.

Field What it does
Department code* Required. Must be unique within your organization.
Department name* Required.
Location Optional. Defaults to "None".
Manager Optional, from your team's members. Defaults to "None".
Description Optional.
Active Switch. Checked by default when creating a department.

Select Create department or Save changes to save.

To delete a department, select Delete on its row. The confirmation reads "Delete {department name}?" with the text "This department will no longer be selectable for new assets." and a Delete button to confirm.

Sales opportunities

Select Opportunities in the Sales card.

Field What it does
Show products on opportunities Saved but has no effect in this version.

Select Update settings to save.

Sales orders

Select Orders in the Sales card.

Field What it does
Show barcode on orders Saved but has no effect in this version.
Stock availability scope Across all stores, One fulfilling store per order, or A store per order line — decides how stock availability is checked for orders.
Default fulfilling store Lists your team's warehouses (marked (warehouse)) and inventory stores. Orders are fulfilled from it, and it's used for stock checks when an order or line names no store of its own. "A goods issue note needs a warehouse."
Block confirmation when stock is short Switch.
Allow confirming anyway Only shown when Block confirmation when stock is short is on. "Owners and Admins, and in organizations with permission groups, members with Edit on the order and Orders › Override a stock shortfall, see a Confirm anyway button on a blocked order."
Reservations expire after Number of days, 0-3650, default 14. "0 means a reservation never expires on its own."
How orders are fulfilled What Request fulfilment does on a confirmed order: Send a goods issue note to the warehouse (default), Raise a request the warehouse turns into a note, Take the stock immediately, without the warehouse, or Don't move stock at all. See Fulfilment.
Amendments Four switches, all on by default: Allow lowering quantities, Allow raising quantities, Allow adding lines and Allow removing lines. They decide what Amend order may change on a confirmed order; with all four off, orders can't be amended. "Switch raising and adding off if extra goods should go on a new order."

Select Update settings to save.

Sales pricing

Select Sales pricing in the Sales card. This screen is for Owners and Admins only.

Field What it does
Margin floor (%) "A quotation line, or the quotation as a whole, priced below this margin needs approval from another team member before it can be issued. Leave blank to turn this off."

A breach blocks Issue, not Save, and needs sign-off from another team member — the same approval flow used for a Configuration rules breach.

Select Update settings to save.

Other Sales settings

The Sales card also has four more configuration screens, each with its own guide: Price books, Bundles, Configuration rules, and Guided selling. All four are for Owners and Admins only, like Sales pricing above.

Fuel settings

Select Fuel settings in the Fuel card. Only Owners and Admins can open it. These settings apply to the whole organization and to Fuel Management. Select Save settings at the bottom; a toast says "Fuel settings saved."

Setting Choices Default What it does
Receipt photo required On / Off Off A fill cannot be saved without a photo of the receipt: "Add a photo of the receipt." Does not apply to imported fills.
Meter reading required on fills On / Off On Asks for the odometer or engine hours on every fill of a vehicle that has a meter.
Meter reading required on station dispenses On / Off Off Asks a linked fuel station for the odometer or engine hours on every dispense to a vehicle that has a meter.
Economy unit distance per litre (km/l or mi/l) / litres per 100 distance units Distance per litre How fuel economy is shown. The distance unit comes from Fleet settings. Engine-hour vehicles always show l/hr.
When the fuel type is wrong Flag the fill for review / Block the fill Flag Block refuses a fill whose fuel does not suit the vehicle.

Fuel type differs from the vehicle's On / Off On Flags a wrong fuel.
Possible duplicate fill On / Off, Window (minutes) 1 to 1440 On, 30 Flags a fill with almost the same litres as another fill of the vehicle within the window.
Duplicate tolerance (%) 0 to 20 1 How far apart two fills' litres may be, as a share of the larger, and still count as alike.
Fills too close together On / Off, Minimum hours between fills 0 to 72 On, 4 Flags a fill made sooner than this after the vehicle's previous fill.
Meter reading lower than the last one On / Off On Flags a meter lower than the previous fill's.
Economy far from the vehicle's usual On / Off On Flags a fill whose economy is outside the vehicle's expected band.
Fill for a vehicle that is not active On / Off On Flags a fill for a vehicle that is out of service, sold or disposed.
Default limit mode Hard / Soft / Approval Hard What a quota set to Team default does when a fill would go over it.
Alert at (% of quota used) 1 to 99 80 The fuel managers are told when a quota passes this level.
Allow fuel without a quota On / Off On When off, the fill form says "Not authorised" for a vehicle and driver with no quota, and a fill entered by hand or by a driver that no quota covers is refused with "No fuel quota covers this vehicle or driver." An imported fill is saved and flagged Over quota.
Only credit-account fills count against quotas On / Off Off When on, a fill paid any other way does not use up a quota.
Approval timeout (minutes) 1 to 120 10 How long a request raised at a fuel station's pump waits for your decision before it lapses. It applies to live extra-fuel requests at a station only.
Require cost centre and project On / Off Off Every fill must name the cost centre or project it is charged to: "Enter the cost centre or project."
Auto-accept matching station invoices On / Off Off Under Bills. A station invoice whose dispenses, prices and totals all match is accepted at once and its bill raised in Finance, with no one reviewing it.
Price tolerance per litre 0 to 1000 0.01 Under Bills. How far a dispense's unit price may be from the price agreed in the account's terms before the automatic match reports it.
Fuel expense account, Payable account An expense account (Expense, Cost of Goods Sold, Other Expense); an Accounts Payable account System account Under Accounts. The accounts the bill of an accepted station invoice posts to. System account uses the standard General expense and Accounts Payable accounts.
Default bank account Your bank and cash accounts Not set Under Accounts. Offered first when you pay a station bill.
Fuel managers Any active members Fleet's managers Receive fuel exceptions, quota alerts and extra-fuel requests. When empty, the Fleet managers from Fleet settings are used.

A value outside its range is refused with a message under the field.

Fuel station link code, at the top of the page, is a ten-character code you give a fuel station that uses this system so it can offer you a credit account; you still accept the account before it is used. Regenerate makes a new code after you confirm; stations holding the old code can no longer use it, and existing accounts are not affected. Regenerating also needs Request, accept and close station credit accounts.

Fuel station settings

The Fuel station settings link appears in the Fuel card only for a team that the platform administrators have marked as a Fuel station (a team's type is set by them in the Superadmin area, never from Settings). For any other team the page answers "This team is not a fuel station." Only Owners and Admins can open it. Select Save at the bottom; a toast says "Fuel station settings saved."

Setting Choices Default What it does
Attendant can change the price On / Off Off Otherwise the unit price at the pump is fixed at the price agreed for the client.
Vehicle photo required On / Off On A dispense cannot be recorded without a photo of the vehicle.
Meter reading required When the client's settings require it / On every dispense When the client's settings require it Asks for the vehicle's meter reading.
Refuse when the client has no quota On / Off On A scan with no quota that applies is refused. A client whose entitlement is not authorised is always refused.
Credit limit, Payment terms (days), Billing cycle, Pricing Limit from 0 (0 means no credit limit); 0 to 365 days; weekly, fortnightly or monthly; pump price, pump price minus an amount per litre, or minus a percentage 0, 30, monthly, pump price The terms a new client credit account starts with.
When a dispense goes over the credit limit Block it / Warn and allow it Block it Applies only when the account has a credit limit above 0.
Invoice lines One line per dispense / One line per fuel type per day One line per dispense How a client's invoice is laid out.
Tax No tax on invoices / Use Finance taxes No tax
Void window (hours) 0 to 720 24 How long after it is recorded a manager may void an uninvoiced dispense.
Receivable account, Fuel sales account, Default bank account An Accounts Receivable account; an income account (Income, Other Income); a bank or cash account Not set The accounts the invoices you issue to clients post to. Not set uses the standard Accounts Receivable and Sales accounts.

Site limits is a table of your members against your sites (add sites under Station setup first). Tick the sites a member may work at; a member with none ticked works at every site. A site that is not yours or a person who is not a member of the team is refused. Create station permission groups adds the groups Pump attendant, Station manager and Accounts to Settings > Permissions, each with the keys that role needs; a group that already exists is left as you set it, and you add your staff to the groups yourself. The button asks you to confirm first, because once a team has any permission group, every member who is not an owner or admin and is in none of them loses access at once. Add your staff to the groups straight afterwards.

A value outside its range is refused with a message under the field. The pump, clients, invoices and payments of a fuel station are described in the Fuel Station Management guide.

Container Depot module settings

The Containers card — Module settings, Masters, Billable products, Surveyors, and Liable parties — is documented on its own page: see Module settings in the Container Depot guide.

Current limitations

  • System: Legal name, Address, Tax ID, VAT number, Print date format, Header style, Default printer type, and Enforce permissions are saved but have no effect in this version. Enforce permissions is particularly misleading — despite its label, turning it off does not change how permissions are enforced anywhere in OCTO Ops.
  • Letterhead: only the quotation PDF header uses these details today — no other print reads them yet. Zip, Mobile and Telephone are saved with no confirmed use anywhere.
  • Locations is read-only — there's no way to add, edit, or delete a location from this screen.
  • Stock controlling: Show only available stock and Manage for consignment are saved but have no effect. Reduction point only does anything when it's set to exactly "invoicing" and Manage stocks is on, and the screen doesn't explain that.
  • Default sizes: the on-screen help text claims these sizes are used when printing asset barcode/QR labels, but no printing screen in this version was found to actually use either setting.
  • Stores > Weigh-slips: Weight entered is gross weight is saved but has no effect.
  • Marketing email: none of these settings currently configure an outbound mailer or send a marketing email, and leaving Password blank on a resave clears any password you'd saved before.
  • Custom reports is decorative only — there is no way to create or view a custom report anywhere in OCTO Ops today.
  • Finance: Show total in words and Tax registration number are saved with no confirmed effect elsewhere. Tax model is a free number field with no guidance on which numbers are valid.
  • Currencies: the Team currencies list is read-only — there's no way to edit or remove a currency once added.
  • HR settings: Monitor time, Clock in, Clock out, Min hours/day and Min hours/week are all saved but have no effect.
  • Sales opportunities: Show products on opportunities is saved but has no effect.
  • Sales orders: Show barcode on orders is saved but has no effect.
  • Apart from Categories, Business units (SBUs) and Exchange rates › Bulk Edit, no screen on this page shows a confirmation message when you save — the page just reloads with your values kept.
  • There's no screen anywhere in Settings to turn individual modules on or off.
