Once a quotation is issued, you can send the customer a link to review it, ask questions, and accept it themselves — without ever needing to log in.
Get the document link
- On an issued quotation, select Get document link above the line-items table.
- Send the link to the customer through whatever channel you'd normally use — email, chat, and so on.
The document link is only available once a quotation has been issued — there's nothing for the customer to review before that.
The link opens a standalone page showing the quotation's full line items and totals. It never shows cost or margin figures, even where your own view of the quotation does.
The link is valid until the quotation's own Valid till date, if one is set. If the quotation has no validity date, the link defaults to 30 days from when it's created.
The comment thread
Both sides can post to the same comment thread on the document link — the customer can ask a question, and a rep can reply, all in one place.
- A customer's own comment is always visible to both sides — there's no way to make it internal-only.
- A rep's comment carries a visibility toggle — post it as Internal only to keep it off the customer's view (useful for notes to the rest of the team), or Customer visible so the customer sees it on their next visit.
Accepting the quotation
The customer accepts by typing their full name and confirming on the document link. This is a typed-name e-signature, not a drawn signature — it's a legally valid attestation under the ESIGN Act, not a substitute for one.
The acceptance record captures:
- The name typed
- IP address
- Browser user agent
- Date and time
- A hash of exactly what was accepted — the specific issued version of the quotation, so there's no ambiguity about what the customer agreed to
This record is shown on the quotation, under an expandable Audit trail.
Accepting on behalf of the customer
If a customer confirms verbally, by phone, or by email instead of using the link themselves, a rep can select Accept on behalf of customer on the quotation and type the customer's name. This records the acceptance the same way, but flagged as accepted by the rep on the customer's behalf rather than by the customer directly.
Acceptance locks the quotation — a rep can no longer edit, re-issue, or Revise it. Void is still available. See Order conversion for what happens to an accepted quotation next.
Requesting a revision
Instead of accepting, the customer can request a revision from the same link — describing what they'd like changed. This reopens the quotation to draft, exactly as if a rep had selected Revise.
While the quotation is back in draft, the same document link stays open, but shows a "your sales representative is preparing an updated quote" message instead of the line items and totals. The comment thread stays visible and postable throughout. Once the rep reissues the quotation, the same link automatically shows the new version — no new link is ever generated.
There's no in-app way to revoke a document link once it's created — the same gap already noted for guided selling's share link. Treat a sent link as valid until it expires.
