My Fleet is a single page for a driver. It shows the vehicles assigned to the signed-in person and gives big buttons for the three things a driver does day to day: start an inspection, report an issue and add a meter reading. It is designed for a phone.
What a driver needs
- A driver record that is Active and linked to their login through Signs in as.
- One or more vehicles assigned to that driver.
- In an organization that uses permission groups: My Fleet › View, and view access to their vehicles (Vehicles › View (own) is enough for the vehicles they drive). The buttons need Inspections › Create and Issues › Create.
Who enters records
Who enters records in Fleet settings decides what My Fleet offers.
| Setting | What a driver sees |
|---|---|
| Drivers (default) | The full page below. Staff can still enter records for drivers. |
| Staff | A card "Your organization records inspections for you": there is nothing to enter. Adding a reading from My Fleet is refused. Inspections and issues are refused for drivers too ("Your organization records this for you."), unless the person also holds View (all) on Inspections or Issues, as a staff member who also drives would. |
The page
At the top is the driver's name with their licence number and expiry date. If the driver has renewals recorded (a driving licence, a medical certificate), My renewals lists each current one with its expiry date and status (Valid, Due soon or Expired), soonest first. A driver sees their own renewals here without needing access to the Renewals section.
If your organization has Fuel Management and you hold My Fuel › View, a Fuel card follows. It says how many litres are left on your quota (or "Log fills and request extra fuel" when no quota applies) and has a My Fuel button that opens My Fuel. The QR label on a vehicle also works at fuel stations that have a credit account with your organization; see QR labels.
Below that, one card per assigned vehicle shows:
- the vehicle's name and status, its registration and its latest Reading;
- a red notice "This vehicle has a critical defect." when one is held, see Critical defects;
- an amber notice "Checklist is due" with a Start button for each scheduled inspection that has not been done yet today, this week or this month (according to the checklist's schedule, see Inspection templates);
- the buttons Start inspection, Report issue and Add reading.
Messages you may see instead of the page:
| Message | Meaning |
|---|---|
| Your login is not linked to a driver | There is no active driver record linked to this login. Ask your fleet manager to link it ("Signs in as"). |
| No vehicle is assigned to you right now. | The driver has no current assignment. |
Start an inspection
Select Start inspection (or Start on a due checklist). The inspection opens for that vehicle. Choose the checklist and answer the items, see Do an inspection.
Report an issue
Select Report issue and describe what is wrong, see Report an issue.
Add a reading
- Select Add reading on the vehicle.
- If the vehicle tracks both distance and engine hours, choose which. Enter the value, and the Read on date if it was taken earlier.
- Select Save reading.
The toast says "Reading recorded." or, if the reading looks wrong, "The reading was saved but flagged for review and does not count yet." A fleet manager then accepts or voids it, see Why a reading is flagged.
A driver can add readings only for a vehicle currently assigned to them and only when the organization lets drivers enter records.
