OCTO Ops Help User guides and product documentation

Preferences

Manage your own profile, sign-in security, notifications, and appearance, and switch between the teams you belong to.

On this page 15

This is your personal account area — the settings that belong to you rather than to your organization. You reach it from the account sidebar (opened from the header user menu) or, for a few shortcuts, directly from the header user menu itself.

Where to find it

Select your name or avatar in the top-right header to open the user menu:

  • My Profile and My Security open the corresponding sidebar tabs directly.
  • The Team flyout (shown only if you belong to more than one team) lists your teams to switch between, plus Manage teams, which opens the full team list.
  • The Language flyout is decorative — it always shows English and has no other option.
  • A separate light/dark/system theme control sits next to the user menu (not inside it).
  • Leave Impersonation appears only if a superadmin is impersonating your account.
  • Sign Out ends your session.

Once inside the account area, a sidebar lists Profile, Security, Notifications, Teams, Billing, and Appearance. Billing is only shown to Owners and Admins.

Profile

Your Profile tab holds:

Field Notes
Name Required.
Email address Required, must be a valid, unused email address.

Select Save to update. On success you'll see the toast "Profile updated."

Note

Changing your email address clears its verified status — you'll see a banner "Your email address is unverified. Click here to re-send the verification email." Selecting it sends a new link and shows "A new verification link has been sent to your email address."

Delete your account

Select Delete account to open a confirmation asking you to enter your current password. Confirming permanently deletes your account and everything associated with it, signs you out, and returns you to the sign-in page.

Security

The Security tab covers your password, two-factor authentication, and passkeys.

Password

Enter your Current password, then a New password and its confirmation, and select Save. On success you'll see "Password updated." and the form's password fields are cleared.

Two-factor authentication

If two-factor authentication is enabled for your organization, a card explains it: "When you enable two-factor authentication, you will be prompted for a secure pin during login. This pin can be retrieved from a TOTP-supported application on your phone." Select Enable 2FA to work through the setup steps — scanning a QR code with an authenticator app and confirming a code, after which you're shown a set of recovery codes to store safely. Once enabled, the card confirms two-factor authentication is active and offers Disable 2FA, along with a control to regenerate your recovery codes.

Passkeys

If passkeys are enabled for your organization, a Passkeys card lists any you've registered, each showing its name, the authenticator used, when it was created, and when it was last used, with a delete option per entry. With none registered you'll see "No passkeys yet" / "Add a passkey to sign in without a password." A control on this card lets you register a new passkey by following your browser or device's own prompts.

Notification preferences

Open Settings > Notifications (or the gear icon in the notification bell dropdown) to control how you're notified.

  • Events table — columns Event / Email / Push, grouped by category. Each event's Email select is Off, Immediately, or Digest, with a separate Push checkbox. High-priority events are locked with the note "Required for security — cannot be changed"; trying to change one anyway is rejected with "This notification is required and cannot be changed."
  • Quiet hours — an Enabled checkbox plus start and end times, disabled unless enabled.
  • Fleet events — under the Fleet category: "A vehicle has a critical defect" (required, cannot be changed), "A vehicle or driver document is due for renewal" and "A vehicle service became due soon or overdue". See Fleet Management.
  • Fuel events — under the Fuel category: "A fuel fill needs review", "A fuel fill went over its quota", "A fuel quota reached its alert level", "A fuel quota is used up", "An extra-fuel request needs a decision" (required, cannot be changed) and "An extra-fuel request was decided". See Fuel Management.
  • Digest — a Frequency select (Off, Daily, Weekly), a Day select (shown only when Weekly), and a Time field (shown unless Off). A helper notes "Times are in your local timezone. Only applies to events set to "Digest" above."
  • Browser push — depending on your browser and current state, you'll see "Not supported in this browser.", "Checking subscription…", or a button to enable or disable browser push on this device. A helper explains: "Enabling here registers this device to receive push notifications for events with Push checked above."
  • Muted projects — a checkbox list of your visible projects. Muting stops email and push for that project without hiding it from your Inbox: "Muted projects still show in your Inbox — email and push just stay quiet." Trying to mute a project you can no longer see is rejected with "You cannot mute a project you cannot see."

Select Save (or the form's submit control) to apply changes — you'll see "Notification preferences updated."

Notifications inbox

The bell icon in the header polls for new notifications, shows an unread count (capped at "9+"), and lists your most recent ones. Mark all read appears once you have unread notifications; selecting a notification opens what it refers to and marks it read. View all opens the full Inbox page.

The Inbox page adds a search box, a category filter, Unread only and Include archived checkboxes, bulk selection with a Mark N read button, and per-row Mark read / Archive controls. With nothing to show, the page reads "Nothing here." A notification about something you can no longer see is filtered out even while unread.

Appearance

The light/dark/system theme control next to the header user menu switches your interface theme immediately; your choice is remembered for future visits. The Appearance tab in the account sidebar opens the same setting.

Switching teams

If you belong to more than one team, use the Team flyout in the header user menu to switch directly, or select Manage teams to open the full list. From that list you can also select the eye or pencil icon next to a team to view or edit it (see Organization Settings), or select Leave on any team you belong to where you are not the Owner. Select New team to create another team — this hands you off to subscribe it, since a newly created team starts without an active subscription.

If you leave the team you're working in, you're moved to another team where your access is still active. If you have none, you're left without a team: you keep your account, your personal settings and the team list, where you can create a team or accept an invitation. Until you do, opening the dashboard takes you to the team list with the message "You are not in any organization. Create a team or accept an invitation to continue.", the modules are closed to you, and nothing from the team you left is shown to you.

Choosing a business unit

If your organization has set up business units, a button with a diagram icon in the header lets you choose a business unit, and on wider screens shows your current choice. Your choice is remembered per team. See Business units.

Accepting or declining an invitation

When you're invited to a team, open the link in the invitation email. Accepting requires an open seat on that team; once accepted you're switched into the team and shown the toast "Invitation accepted." Declining removes the invitation and shows "Invitation declined."

Other account preferences

A separate Preferences page holds your time zone, date format, language, and dashboard widget choices.

  • General — Time zone (searchable list), Date format (searchable list), and Language (English, Sinhala, or Tamil). Select Update settings to save. Leaving Date format or Time zone blank falls back to a system default rather than showing an error.
  • Dashboard widgets — a switch per widget available on your dashboard. Select Update settings to save.
Important

This Preferences page has no link anywhere in the app's menus or sidebars — you can only reach it by going directly to its address. Saving either card does not show a confirmation toast, so check that your change took effect before navigating away.

Current limitations

  • The Preferences page (time zone, date format, language, dashboard widgets) has no menu entry anywhere; it's reachable only by direct address, and saving it gives no confirmation toast.
  • The Language flyout in the header user menu is decorative — it always shows English only and has no other option to select.
  • The exact wording shown inside the two-factor setup steps and the passkey registration control isn't covered here; follow the on-screen prompts.
