Fuel overview
Open Fuel Management › Overview. You need Overview › View all, and each card needs the permission for what it counts. A card you cannot see is left out; with none the page says "There is nothing to show here for your access yet."
Choose From and To (it starts with the current month) and select Show, or This month. A period is limited to a year: "Choose a period of up to a year."
| Card | Needs | What it shows |
|---|---|---|
| Spend, Litres | Fills › View | The total cost and litres of recorded fills in the period; View fills opens the list for the period. |
| Average economy | Fills › View | The economy of fills that have one, weighted by litres. Engine-hour vehicles are left out because their economy is litres per hour. |
| Open exceptions | Exceptions › View | Flagged fills waiting for a decision; Review exceptions opens the queue. |
| Top consumers | Fills › View | The five vehicles with the most litres, with litres and spend. |
| Quotas | Quotas › View | The number of Active quotas, those At n% or more of their allowance (including used-up ones) and those Used up. |
Spend, Litres and Top consumers include the station dispenses to your vehicles. Cards count only vehicles you may view, and, with View (own), only your own records. The overview is not filtered by business unit.
Fuel reports
There are seven reports under Reports › Fuel. They use the common report tools described in Reports: the filter drawer opened with the funnel icon, and the Copy, CSV, Excel, PDF, Print and Column visibility buttons above each table. Exported files and printouts are titled with the report and, when your organization has business units, the unit it ran for.
The Fuel Reports page lists a report only if you hold the permission for what it reports on:
| Report | Needs |
|---|---|
| Fuel consumption, Fuel economy ranking, Fuel cost per distance, Spend by station | Fills › View |
| Fuel exceptions | Exceptions › View |
| Quota usage | Quotas › View |
| Bills by station | Bills › View |
| The Fuel Reports page itself | Any Fuel Management permission |
Each report shows only fills of vehicles you may view, and, with View (own), only your own records. In an organization without permission groups every member can open all seven. Amounts, litres and economy follow the organization's number settings.
All reports share a drawer with From and To (the current month by default; a period is limited to a year: "Choose a period of up to a year."), Vehicle group, Vehicle type, Driver and Station (as the report offers them) and, with business units, a Business unit filter and column. Select Filter and run report. Only recorded fills count: voided fills are left out. The fill reports (consumption, economy ranking, cost per distance and spend by station) also count the station dispenses to your vehicles, under the linked station's name; a dispense has no economy of its own, and it counts in the Fills column.
Fuel consumption
Group by Vehicle, Driver, Vehicle group or Business unit. Columns: the grouping name, Fills, Litres, Spend, Distance and Economy (and Business unit when grouped by vehicle).
Fuel economy ranking
Vehicles ranked from best to worst economy for the period: Rank, Vehicle, Registration, Fills, Litres, Economy (the litres-weighted average), the Expected band and Against band: Within band, Better than band, Worse than band or No band. For a vehicle measured in litres per hour a lower figure is the better one.
Fuel cost per distance
For each vehicle: Fills, Litres, Fuel spend, Distance and Cost per kilometre (or mile), with totals. Distance is the rise in the vehicle's accepted odometer readings within the period; a vehicle with fewer than two readings shows "—".
Fuel exceptions
The flagged fills of the period summarised: By state (open, accepted, rejected), By flag, By reviewer's reason, and the Repeat offenders among drivers and vehicles with two or more flagged fills (Flagged fills, Litres, Spend). With none: "No flagged fills in this period."
Quota usage
One row per quota and period overlapping the dates: Subject, Type, Period, Limit, Used, Remaining, Overruns and Status. The limit includes carry-over and approved extra fuel, and Overruns is 1 for a period in which a fill took the period past what was available (the crossing), otherwise 0: the fills after it are not counted again. A report is limited to 5,000 rows: "Showing the first 5,000 rows — narrow the period."
Spend by station
One row for each station on your list (Kind Registered) and for each place named by hand on a fill (Kind Other), biggest spend first: Fills, Litres, Spend and Average unit price, with a total line.
Bills by station
What each linked station invoiced you in the period, from the bills you received: one row per station with the number of Invoices, Invoiced (the original totals), Credited, Paid and Outstanding, and a total line. Paid counts the payments the station has confirmed. With business units, a Business unit filter applies to the unit of the bill. It uses the same date drawer, with no vehicle, driver or station filters. With none: "No station invoices in this period."
Current limitations
- A report covers at most a year.
- There is no report of fuel by trip.
- Distance and economy depend on meter readings being recorded with the fills.
