Status tells users what is happening to an individually tracked asset. OCTO Ops uses a fixed status list so dashboards, workflows, and reports remain consistent.
Available statuses

| Released | Released for an operational purpose. |

| In Transit | Dispatched in an asset transfer but not yet received. |
| Returned | Returned from a prior use or custody. |
| Under Inspection | Included in an active inspection workflow. |
| Damaged | Damage has been reported or confirmed. |
| Under Repair | Repair work is in progress. |
| Retired | Removed from active use. |
| Lost | Cannot be accounted for. |
| Scrapped | Disposed of as scrap. |
| Sold | Disposed of through sale. |
The Status Management page shows this fixed list and the current number of assets in each status. Users cannot add, rename, reorder, or delete statuses.
Automatic status changes
OCTO Ops changes status as part of these workflows:
- Registration: a new individual asset starts as Available.
- Reservation approval: included assets become Reserved.
- Reservation completion or cancellation: assets that are still Reserved return to Available.
- Transfer dispatch: dispatched assets become In Transit.
- Transfer receipt: an
OKresult makes the asset Available at the destination;Damagedmakes it Damaged at the destination;Missingmakes it Lost without changing its location. - Inspection scheduling: included assets become Under Inspection.
- Inspection review: Damaged becomes Damaged, Lost becomes Lost, and the other current inspection conditions return to Available.
- Inspection cancellation: assets that remain Under Inspection return to Available.
- Approved audit variance: Missing findings make assets Lost and Damaged findings make assets Damaged.
- Disposal: the selected outcome becomes Retired, Scrapped, or Sold.
Change a status manually
- Open the individual asset in Asset Registry.
- Select the status change action.
- Choose the required status.
- Enter a meaningful note.
- Confirm the change.
Use manual changes for real-world events not already represented by a workflow. Before changing an asset that is Reserved, In Transit, or Under Inspection, resolve the related reservation, transfer, or inspection where possible so its process state and asset status do not conflict.
Read status history
The asset profile lists changes newest first. Each entry can include:
- previous and new status;
- who made or triggered the change;
- date and time;
- workflow source; and
- explanatory notes.
Status history is the best place to answer when and why an asset changed state. A direct edit of descriptive asset fields is not a status-history event.
Status and condition are related but separate. Inspection review updates the recorded condition and may also choose an appropriate status. Location is separate again and only changes when the relevant edit or transfer-receipt workflow changes it.
