Vendors

Maintain the vendor records used across purchase orders, quotations and requisitions.

On this page 7

A vendor record holds the contact and commercial details for a supplier — used when raising purchase orders and quotations, and on product records for purchasing.

Before you start

You need Purchasing › Vendors › View to open the list and profiles, Create to add a vendor and Edit to change one. With the own-records permissions you see and edit only the vendors you created. The vendor lists you pick from on purchase orders, quotations and receipts still show every vendor. See Access and permissions.

The Vendors list

Open Purchasing > Vendors.

Column Notes
Name The vendor's name. Links to its profile.
Email The vendor's email address.
Website The vendor's website.

Sort defaults to the Name column, A–Z — this is the only list in Purchasing sorted this way; the other three default to newest first. The toolbar shows a Create icon.

Create a vendor

  1. From the list, select the Create icon.
  2. Enter the Vendor name.
  3. Optionally fill in the remaining fields.
  4. Select Create vendor.
Field Required What to enter
Vendor name Yes The vendor's name.
E-mail address No Must be a valid email address if entered.
Website No The vendor's website.
Credit period (days) No A whole number, 0 or more.
Credit limit No A whole number, 0 or more.
Tax ID (EIN) No Free text.

On success, you see a toast reading "Vendor created successfully" and you're taken to the vendor's profile.

The vendor profile

Shows the vendor's name, an Edit button, then Email (as a mailto link), Website, Credit period ("N days"), Credit limit, Tax ID (EIN), VAT number, and Description — each row only shown if it has a value.

Edit a vendor

Open the vendor and select Edit. The form is the same as Create, pre-filled.

Errors you may see

Message Why What to do
Check your records before submitting this form again. The vendor failed to save — usually a missing Vendor name, or an E-mail address that isn't a valid email. Check the highlighted field and try again.

Current limitations

  • The Website field does not check that what you enter looks like a web address — any text is accepted.
  • No status options are set up for vendors; there is no status shown anywhere on the vendor screens.
  • There is no Delete control for vendors.
