Guided selling walks through a short, fixed sequence of questions about what the customer needs, narrowing down to a set of matching products as each question is answered. It's useful when a customer isn't sure which of your products fits their situation, or when a rep wants a quick, consistent way to work through their needs instead of browsing the full catalog.
A guided selling session is always tied to one draft quotation — you start it from the quotation you're building, and its results come back to that same quotation for the rep to review.
Author the question set
- Go to Settings > Module settings > Sales > Guided selling.
- Select New question and enter a Prompt — the question as the rep or customer will see it.
- Choose whether the question allows multiple answers or just one.
- Add the answer options for the question, in the order they should appear.
- For each option, tag it with one or more product categories — the categories of products that answer applies to.
The order questions are listed in Settings is the order they're asked in — there's no branching; everyone answers the same fixed sequence.
How narrowing works
Each answer option is tagged with one or more product categories. As the sequence is answered, guided selling narrows the product list down to whatever satisfies every question that's been answered:
- Within one question, picking more than one option widens that question's own match — a product only needs to fall in a category tagged by any of the options selected on that question.
- Across questions, the match narrows — a product needs to fall in a category that satisfies every question answered so far, not just the most recent one.
Worked example: Question 1 is "Where will this be used?" with options "Indoor" (tagged Indoor furniture) and "Outdoor" (tagged Outdoor furniture, Outdoor lighting). Question 2 is "What's the budget tier?" with options "Standard" and "Premium" (tagged Outdoor furniture, Premium lighting). Answering "Outdoor" then "Premium" only matches products in Outdoor furniture — the one category common to both answers.
If nothing satisfies every answered question, that's a valid outcome — guided selling shows "no exact matches" rather than relaxing the answers or falling back to a wider set.
Guided selling questions are managed by team admins only.
Run it with the customer
On a draft quotation, select Guided selling above the line-items table. This opens the question sequence in a dialog — step through it with the customer, answering one question at a time. When the last question is answered, the results are ready immediately as a proposal on the quotation page.
Guided selling is only available while the quotation is still a draft.
Send a link for the customer to complete alone
Instead of running the sequence together, select Get shareable link above the line-items table. This generates a link you can send the customer through whatever channel you'd normally use — email, chat, and so on.
The link opens a standalone page with just the question sequence on it — nothing else. It doesn't require the customer to log in, and it doesn't give them access to the quotation, pricing, or any other part of your account. Once the customer finishes, their answers are matched the same way as if a rep had run the sequence, and the results appear as a proposal on the quotation for the rep to review.
A shareable link expires 14 days after it's created. After that, it can no longer be opened.
Reviewing the results
When a guided selling session is finished — whether run by the rep or completed by the customer through a shared link — its matched products appear in a Guided selling results panel on the quotation page. Every matched product is listed with a checkbox, pre-selected by default.
From here, the rep can:
- Add to quotation — adds the checked products as new draft line items.
- Dismiss — discards the session's results without adding anything.
Nothing is added to the quotation automatically — a session's results only reach the line items when a rep explicitly adds them. If a session found no matching products, the panel shows "no exact matches" instead of a list, and can still be dismissed.
If more than one guided selling session is completed on the same quotation — for example, the rep ran it once and also sent a share link — each shows up as its own panel, reviewed and actioned independently.
