Approvals

See and decide the Warehouse requests waiting for approval — scrap, return to vendor, repair and stock count adjustments — and retry one whose update failed.

On this page 6

Some Warehouse decisions wait for a second person before they take effect. Your organization chooses which in Warehouse settings (see Warehouse settings). By default, scrapping damaged stock and stock count adjustments need approval; returns to vendor and repairs do not.

Open Approvals from the Approvals pending tile on the Warehouse overview (it counts every request in your organization still waiting for a decision) or from the Approvals button on the Damage and disposition list (it shows how many requests wait for you); a waiting stock count also shows Approve and Reject on its own profile. A notification usually opens the document itself (otherwise this list); from there, return to the list with that button.

Before you start

  • Any Warehouse permission opens the list.
  • To approve or reject you need the decision's permission under Warehouse › Damage & disposition: Approve or reject scrapping damaged stock, Approve or reject a return to vendor, or Approve or reject putting repaired stock back on sale. Owners and Admins hold all three.
  • Stock count adjustments need Warehouse › Stock counts › Approve or reject stock count adjustments, and nobody who counted part of a count can approve it.
  • Nobody can approve their own request, Owners and Admins included. If only one person in your organization can approve, set that decision to Direct.

The tabs

Tab What it lists
To decide Requests waiting for a decision that you may make and did not raise. The number beside it is how many.
My requests Requests you raised, in any state.
Decided Requests approved, rejected or withdrawn in the last 90 days that you raised or could have decided.

Each row shows the action, the document number (select it to open the document; it is linked only when you may open that document, which includes a document you approved or rejected), the warehouse, a summary such as "6 units, 1,240.00", who asked and when, the state, and who decided and when, with the note. Each tab shows at most 500 requests.

Approve or reject

Open the document and select Approve or Reject in the toolbar. A rejection needs a reason; the person who asked sees it. Approving authorises the decision; someone still completes it (dispatches the return, writes off the scrap, returns the repair to stock). See Damage and disposition.

Notifications

When a request is raised, everyone who can approve it (except the person who raised it) gets a notification: "Asha Perera asked you to approve scrap SCR-4 (6 units, 1,240.00)." The person who raised it is told the decision: "Kamal Silva approved SCR-4." or "Kamal Silva rejected SCR-4: Units are repairable".

Both arrive in the notification bell. To also get them by email, change A warehouse approval is waiting for you and Your warehouse approval request was decided under Settings › Notifications.

Retry a failed update

Rarely, an approval is recorded but updating the document fails. The row shows Update failed, the document shows a red notice, and the document can't be cancelled meanwhile. An update that never finished (for example the server stopped part-way) shows Not finished once 10 minutes have passed. A big stock count that was approved and posted only part of the way shows Update in progress: that is not a failure, and Retry (or Continue posting on the count) posts the next batches. Someone with the approve permission for that decision selects Retry on the row in the Decided tab (Retry appears only there, and such rows stay in the tab past the 90 days); the button is greyed out while it runs. Retry appears only on such rows, and is safe to repeat. If the document was approved and then cancelled before the retry, the retry marks the request updated.

Message What it means
"SCR-4 is updated." The retry worked.
"Updating SCR-4 failed again: …" The retry failed again, with the reason. Try again later or ask your administrator.
"Updating CNT-7 is in progress. Posting is part-way: 200 of 250 adjustments are posted. …" The retry posted more of a big stock count. Retry again, or use Continue posting on the count, until it is done.
"There is nothing to retry on this request." Someone already retried it, or it is still being updated.
"You can't approve scrap requests." (or "return to vendor", "repair") You don't hold that decision's approve permission. It appears as a message at the top of the page.

Stock count adjustments

When Count adjustment requires approval, a submitted stock count waits here, summarised like "4 short, 2 over, 3 moved, 1 found". Open it from the row and approve or reject it on the count's profile. Approving posts the adjustments; a big count is posted in batches, and if posting does not finish in the request, Continue posting on the count (or Retry on the row in the Decided tab) picks up where it stopped. Meanwhile the row shows Update in progress, not Update failed.
