Reports

How reports are organized across OCTO Ops, how to run one, and which report groups you can reach today.

On this page 7

There is no single Reports hub in OCTO Ops. Each module that has reports gets its own reports landing page, reached from Reports in the main navigation.

How reports are organized

Selecting Reports in the main navigation opens a list of modules. The modules shown depend on which are enabled for your organization and on whether that module's reports landing page actually exists — not every module with working reports appears here (see "Current limitations" below). Selecting a module opens that module's own reports landing page, with a card or link for each report belonging to it.

There is no cross-module report — every report you run belongs to one module and reads only that module's data.

Run a report

Two different patterns exist across OCTO Ops's report pages — there isn't one house style yet, so check which one you're on:

  • Runs immediately. The report loads with its results already showing, using default filters (commonly a date range). Changing a filter re-runs the report with the new value. Asset Management's audit reports work this way.
  • Waits for you to submit. The report loads empty. Nothing shows until you set the required filters — commonly a customer — and submit them. 3PL's stock and daily reports work this way.

Check each report's own page to see which pattern it uses.

The filter drawer

Every report that has filters keeps them in a filter drawer, as legacy OCTO Ops did: select the funnel icon in the toolbar and a panel slides in from the right with all of that report's filters. Set them, then select Filter and run report; the drawer closes and the report re-runs. Select the cross, click outside the panel, or press Esc to close it without running.

The drawer is used on Container Depot, Asset Management, 3PL, Stocks, Fleet, Warehouse and Purchasing reports. Reports with no funnel icon have no filters.

Because the filters are out of sight, the results card's title shows what the report was run for — for example MLO: All MLOs — From: 2026-09-01 — To: 2026-09-25. It shows the filters the report last ran with, not changes you've made in the drawer but not yet run.

When your organization has business units, the Warehouse reports (GRN activity, Stocks overview and Batch wise stocks), the Purchasing report (Stock availability by purchase order) and the Sales Consignments report (by the consignment's unit) also filter by Business unit, starting with the unit chosen in the header: GRN activity by the receipt's unit, the two stock reports by each stock row's unit — its own, or for stock split from another unit with none of its own, that unit's — and the Purchasing report by the purchase order's unit. In GRN activity, 3PL receipts count as your main business; in the two stock reports, stock whose unit no longer exists counts there. The results gain a Business unit column, receipt numbers and purchase-order numbers carry their legal entity's prefix (PH-41), and the card title and exported files name the business unit. With All business units chosen, Batch wise stocks shows one business unit per batch row even when the same batch exists under several units; filter to a unit to see each one.

The Sales invoice reports (Invoices and Invoices grouped by date) filter by the invoice's Business unit the same way: with business units they gain a funnel icon with that one filter, starting with the unit chosen in the header, a Business unit column, and card and export titles that name the unit.

The Stocks reports filter by Business unit too, by each stock row's unit (its own, or that of the stock it was split or moved from). Stock you hold for 3PL customers counts as your main business.

Exports

Every report's results table has the same buttons above it, as in legacy OCTO Ops:

  • Copy copies the table to the clipboard.
  • CSV, Excel and PDF download it as a file.
  • Print opens a print view of it.
  • Column visibility lists the table's columns, each with a checkbox: ticked columns are shown, and unticking one hides it. Hidden columns are left out of copies, downloads and prints. The report remembers your choice the next time you open it in the same browser.

A report with more than one table, such as a list and a summary beneath it, has a set of buttons on each table.

Files and printouts are titled with the report's name and the filters it ran with, for example Inward movement report — MLO: MAEU — From: 2026-09-01 — To: 2026-09-25. They contain every row of that run, not only the page you're looking at, in the order the table is sorted. If you've typed in the table's search box, only the matching rows are included, and hidden columns are left out. Check the filters before you share a file.

The one exception is 3PL's SAP invoice export, which has no table: it downloads its own Excel file formatted for SAP.

Default date ranges

Where a report defaults a date range, the default is not the same everywhere:

  • 3PL's reports default to last month to today.
  • Asset Management's audit reports default to last 3 months to today.

Check each report's own filters for its actual default before relying on it.

Current limitations

  • Reports › Stocks is listed on the menu for everyone in an organization that uses the Stocks module, but its pages need the Warehouse module and Warehouse › Stocks › View; without them they show a forbidden error.
  • Nine working report groups don't appear on the Reports menu today, even though their pages work: CRM, Marketing, Sales, Products, Quality, Purchasing, Warehouse, Production and 3PL. The only confirmed way to reach most of these is a direct address or a bookmark; see the 3PL page for how its own reports are reached.
  • There is no single cross-module Reports hub page — every module's reports live on that module's own landing page.
  • Default date ranges differ by module — there is no single default used everywhere.
