Fleet overview

The Fleet overview dashboard, what each card counts and which permission shows it.

On this page 10

The Fleet overview is the first page of Fleet Management. It gives a manager a quick read on the state of the fleet: how many vehicles are in use or in the shop, what has expired or is due, what faults are open, whether inspections are being done and what the fleet costs. Every figure links to the list behind it.

Who sees what

Opening the page needs Overview › View in the permission matrix. Each card then appears only if you also hold the permission for what it counts, and it counts only records you are allowed to see (with View (own) on a section, only your own records). Two people with different permissions therefore see different cards. If none applies the page reads "There is nothing to show here for your access yet."

With business units, the funnel icon opens a Business unit filter and the title names the unit; every card is narrowed to it. Without business units nothing changes. Counts, amounts and the distance unit follow the organization's number settings and Fleet settings.

The cards

Vehicles

Counts vehicles still in the fleet, so sold and disposed vehicles are left out.

Line Counts Opens
Active Vehicles with status Active. The vehicle list filtered to Active.
In shop Vehicles in the shop for a work order. The list filtered to In shop.
Out of service Vehicles taken out of service. The list filtered to Out of service.
Critical defects Vehicles with the Critical defect flag. The vehicle list.

Renewals

Line Counts Opens
Expired Vehicle and driver documents past their expiry date that have not been renewed. The Renewals list filtered to Expired.
Due soon Documents inside their reminder window that have not been renewed. The list filtered to Due soon.

A vehicle's renewals follow the vehicle's business unit. Driver renewals are counted whatever business unit is chosen. See Renewals.

Service

Line Counts Opens
Overdue Vehicle and programme rows where a service is past due. The Service screen filtered to Overdue.
Due soon Rows where a service is close. The Service screen filtered to Due soon.

See Service.

Open issues

The title shows the total number of issues that are Open or In progress. Below it, one line for each priority (Critical, High, Medium, Low) with its count, each opening the Issues list filtered to that priority. See Issues.

Inspections

Line Counts Opens
Done today Submitted inspections with today's date. Voided inspections are not counted. The Inspections list.
Vehicles missing a scheduled inspection Active vehicles you may view that have not had a submitted inspection for an active checklist that applies to their type: none today for a daily checklist, none this week for a weekly one, none this month for a monthly one. A vehicle that is missing several counts once. Checklists with no schedule are not checked. Shown in red when above zero. The Inspections list.

Whether the vehicle was inspected does not depend on who did it. See Inspections.

Costs

  • This month is the total of costs recorded in the current month on the vehicles you may view, opening the Costs list.
  • Cost per km (or mile), last 6 months is a bar for each of the last six months. Each month's bar is that month's costs divided by the distance driven in it, using only vehicles that have accepted odometer readings at the start and end of the month. A month with no figure shows "—".
  • Summary opens the cost summary.

Meter readings

Flagged for review counts meter readings that were held back and still wait for someone to accept or void them (Why a reading is flagged). Shown in red when above zero.

Current limitations

  • The overview is a set of counts. There are no charts of trends other than the cost per distance bars, and no map.
  • The cards cannot be rearranged or hidden.
