QR labels

Issue, print and replace the QR label on a vehicle or driver, and what happens when someone scans it.

On this page 5

A QR label is a printed code you stick on a vehicle or hand to a driver. Scanning it with a phone opens that vehicle or driver in OCTO Ops, without searching.

Issue and print a label

You need the permission Issue and revoke QR labels and Edit on the vehicle (under Vehicles) or on the driver (under Drivers).

  1. Open the vehicle or driver and select QR label.
  2. The first time, the box says "Issuing a new label stops the old one working." Select Issue new label. A toast says "A new label was issued. The old one no longer works."
  3. Choose a size: A6 card or Sticker 50 × 30 mm.
  4. Select Print. The browser prints the label only, with no other part of the page.

A label shows the QR code and, below or beside it, text: for a driver, the driver's name; for a vehicle, the registration number or the vehicle name, whichever Text printed on QR labels in Fleet settings is set to (the name is used when a vehicle has no registration number). The A6 card also reads "Scan to open in Fleet".

If issuing fails you see "You may not issue labels for this record." (you lack the permission or edit access) or "Could not issue the label."

Why reprinting issues a new label

For security OCTO Ops keeps only a fingerprint of each code, never the code itself. That means a label can be shown and printed only at the moment it is issued. If you close the box and open it again, there is nothing to print: select Issue new label again.

Issuing a new label replaces the old one. The old label stops working at once, so it is the way to withdraw a label that was lost, damaged or shared. To print a second copy of the same label, print it from the box before closing it: Print can be used as many times as you like while the box is open. Issue another in the box makes yet another new label and cancels the one on screen.

What scanning does

The person scanning must be signed in to OCTO Ops as a member of your organization. If they are not signed in, they are asked to sign in first.

Label What opens
A vehicle The vehicle's profile, if the person can view that vehicle.
A driver The driver's profile, if the person can view that driver. When the person scanning is that driver and drivers enter their own records, My Fleet opens instead.

In every other case the person sees the same page, This label is not available: "The label may have been replaced or withdrawn, or it may belong to another team. Ask your fleet manager for a current one." This page is shown for a code that has been replaced, one that never existed, one that belongs to another organization, and one the person has no permission to view, so it reveals nothing about the vehicle or driver. The page has a Go to the dashboard button.

Scanning at a fuel station

A vehicle's label also works at a fuel station that has a credit account with your organization and uses the system. The attendant scans it in the station's own sign-in, without any access to your Fleet: the station sees only whether the vehicle may fuel (your fuel quotas and the account's terms decide), the vehicle number and the fuel it takes. Replacing a label stops it working at the station too. A label scanned at a station that has no account with you is answered "Not authorised at this station."

Current limitations

  • A label cannot be withdrawn without issuing a new one.
  • Scanning does not let anyone inspect a vehicle without signing in.
