A stock label identifies one stock unit: a receipt (GRN) line, or one carton when your organization labels by carton. Its QR code carries the product code, batch, expiry and the stock unit's identity, and the barcode underneath carries the identity on its own, so the label scans back to that exact stock unit.
Before you start
- You need Warehouse › Stocks › View in your permission group. Owners and Admins can always print labels.
- Stock received for a 3PL customer can't be labelled here. 3PL stock keeps its own labels.
Print labels
The label page opens in a new browser tab when you select Print label on the Lookup scan screen.
- Check the Layout at the top of the page (see Layouts and paper) and the QR format (see QR format). Your browser remembers the layout you chose last.
- Set Copies if you need more than one label for each stock unit (see Copies).
- Select Print, or press Ctrl+P (Cmd+P on a Mac).
- In the print dialog, choose the label printer or the A4 printer, set the paper size to match the layout, and print at 100% (no "fit to page" scaling). To keep a copy, choose Save as PDF instead.
A page holds at most 200 labels, copies included. A larger run is split into pages: print one, then select Next for the rest (Previous goes back). The bar shows which labels you are looking at, for example "Labels 1–200 of 300".
Print labels from a receipt
Open a received receipt and select Print labels on the toolbar (also offered in the "Received …" message straight after receiving, and as Labels beside each line for that line only). You need Stocks › View and Receipts › View.
| Stock unit | Copies printed |
|---|---|
| A carton (carton labels) or a serial unit | 1 |
| A batch line with units per carton | One per carton of units, rounded up (1,150 units at 100 per carton print 12), at most 100 |
| A batch line without units per carton | 1 |
To print the same number of copies of every unit, type a number from 1 to 100 in Copies on the print page (it starts empty on a receipt, which means the defaults above). Runs over 200 labels split into pages with Previous and Next. Drafts have no labels yet, and 3PL receipts keep their own labels.
Print labels from a customer return
Open a received customer return and select Print labels on the toolbar. You need Stocks › View and Customer returns › View. Each stock unit the return wrote prints once (a serial-tracked product wrote one unit per item). To print the same number of copies of every unit, type a number from 1 to 100 in Copies on the print page. Drafts have no labels yet.
Layouts and paper
| Layout | Paper | Use it for |
|---|---|---|
| Roll, 100 × 50 mm (default) | One 100 × 50 mm label per page | A desktop label (thermal) printer loaded with 100 × 50 mm labels. |
| A4 sheet, 8 labels | A4 sheets of 8 labels, 99.1 × 67.7 mm each (Avery L7165 or compatible) | An office laser or inkjet printer. |
QR format
Stock and bin label pages have a QR format choice beside Layout: GS1 or URL. It starts on your organization's default (see QR codes), and your browser remembers the one you chose last. Only the QR code changes; the linear GS1-128 barcode is the same in both formats.
A URL QR code opens the label's page on a phone camera. Warehouse scan screens read it as well as the GS1 code. On the stock label page a hint reads: "A URL QR does not carry batch, expiry or SKU data. The linear barcode still works with warehouse scanners."
What a phone shows for a stock or bin link depends on the QR codes settings. A stock unit shows its product, SKU, batch, expiry, quantity, location and status; a bin shows its code or name, warehouse, zone and bin type, and signed-in members with access also see up to 50 lines of its contents. Stock held for 3PL customers shows "This label is not available".
Copies
Type a number from 1 to 100 in Copies, then press Enter or click outside the box. The page reloads with that many labels for each stock unit, starting again from the first page. A number above 100 is changed to 100, and a number below 1 to 1; an empty box keeps the current number. On a receipt the box starts empty, which keeps each unit's default copies; on a customer return it starts empty too, which prints one label per unit.
What is on a label
| Field | Notes |
|---|---|
| QR code | In GS1 format: product code, batch, expiry and the stock unit's identity. In URL format: a web link only (see QR format). |
| Barcode | The stock unit's identity, with its text printed underneath. |
| Product name and code | The product code is the product's SKU, or its older product code when it has no SKU. |
| Expiry | Printed largest, because it is what people check first. |
| Batch, Mfg | Batch number and manufacture date. |
| Quantity | The quantity received on this stock unit, with its unit, for example "500 tablets". |
| Carton | "Carton 3 of 12" when your organization labels by carton. |
| Business unit | The stock's business unit. Only when your organization has at least one active business unit. |
| Warehouse, GRN, received date | Where the stock is and the receipt it came in on, with its legal entity's prefix when it has one (PH-41). |
Batch, expiry, manufacture date and business unit always come from the stock as it was first received, even after it has been moved.
A barcode can only carry letters, digits, ., / and -. When a batch number contains anything else (spaces or brackets, for example) or is longer than 20 characters, or a product code is longer than 30 characters, it is printed as text only and left out of the QR code. The label still scans, because scanning relies on the stock unit's identity.
Bin labels
Every bin of a warehouse with location management on can have a label that scans straight back to it.
You need Warehouse › Locations › View all.
- Open a bin, rack or zone on the Locations list.
- In the toolbar choose Print label (a bin) or Print bin labels (a rack or zone). A rack or zone prints every active bin beneath it, in zone, rack, shelf and column order.
- Choose the layout — the same roll and A4 sheet layouts as stock labels, remembered by your browser — and print.
Each label shows the bin's name in large type, its path and its purpose, a QR code, and a GS1-128 barcode with its text underneath. One label is printed per bin. Runs of more than 200 labels are split into pages; use Next to print the rest.
A warehouse without location management prints no bin labels: "Turn on location management to print bin labels."
Errors you may see
| Message | What it means |
|---|---|
| 3PL stock keeps its own labels. | One of the stock units belongs to a 3PL customer. Print 3PL labels from the 3PL module. |
| Page not found | A stock unit no longer exists, or belongs to another organization. |
Current limitations
- Labels print through the browser. Printing directly to a thermal printer in its own language (ZPL) is not available.
- Older 3PL labels keep scanning, but can't be reprinted here.
