Put-away

Move received goods from the receiving area to their bins by scanning the goods and the bin.

On this page 8

Goods received into a warehouse with location management on land in its receiving location. Put-away moves each stock unit from there to a bin: scan the goods, see where they should go, scan the bin. Moving goods out of a receiving bin with the Move screen counts as a put-away too.

Before you start

  • The warehouse has location management on, a receiving location, and saleable bins; see Locations.
  • Permissions: Warehouse › Stocks › View to see the awaiting list; Warehouse › Stocks › Edit and Warehouse › Scan › View all to put away. Stocks › Override location lets you put stock in a bin outside its plan when the put-away rule is Enforce.

The awaiting list

The Awaiting put-away list shows every stock unit still in a receiving or returns location, or with no bin, in warehouses with location management on: product, batch, expiry, quantity, carton, bin, source (the receipt, such as GRN 4101, or the customer return, such as Return CR-31), when it arrived and how many hours it has waited. For stock from before this version, which has no arrival time, Received is the receipt's date, else the date the stock was recorded or created. 3PL stock is not listed; it is put away in 3PL.

Open it from the Awaiting put-away count on the Receipts list, which shows that warehouse's units. The Put-aways pending tile on the Warehouse overview shows the same count across all your warehouses with location management on and, when you hold Stocks › View, opens this list; it refreshes every minute. Filter by warehouse with the funnel button. When your organization has business units, filter by business unit there too (it starts with the unit chosen in the header) and see each unit's Business unit column. Put away opens the scan screen for that unit; it shows only when you can put away.

Units in a receiving or returns location come first, oldest first; units with no bin follow them, also oldest first. Units with no bin are usually stock that was already in the warehouse when location management was switched on: it counts as awaiting put-away too, but can't push today's receipts off the list. The list shows at most 1,000 units.

Received customer returns wait in the warehouse's returns area (or its receiving area when it has none). A unit received back as damaged can only be put away into a damage area. A source you may not open is shown without a link.

Put away with the scan screen

  1. Open Warehouse > Scan and choose Put away (or select Put away on the awaiting list or on a received receipt's stock units).
  2. Scan goods: scan the stock label.
  3. Check the quantity. It starts at all of the unit; enter less to split it (see below).
  4. Look at the suggested bins, then Scan the bin you are putting it in.
  5. If the bin is the plan, the goods are put away at once: "Put away to {bin}". Otherwise see When a bin is not the plan.

The screen then asks for the next goods.

Suggested bins

Up to five bins are suggested, in this order:

  1. Bins already holding the same batch ("Same batch here").
  2. Bins holding the same product ("Same product here").
  3. The product's or brand's assigned bins ("Assigned"), or, when the product has none, bins not kept for anyone ("Open bin").

Within each group, bins with the most free positions come first, then bins with no capacity set ("No limit set"), then rack order. Full bins are left out. Damaged goods are offered damage areas only ("Damage area").

Putting away part of a unit

Enter a smaller quantity to put away only part of a unit. The part becomes a new stock unit in the bin, and the rest stays in the receiving location. The new unit needs its own label: select Print label in the green message (you need Stocks › View).

Part of a unit takes up to 3 decimal places; the whole unit can always be put away, whatever its quantity. A serial product's unit is put away whole: its quantity is locked and the screen says "A serial unit is put away whole." This also applies to a unit received before its product was switched to serial tracking: once the product is tracked by serial number, its units move whole. A unit whose quantity is stored in an old format, or whose quantity doesn't add up, is also put away whole, and the screen says which (see Moving stock).

When a bin is not the plan

Scanning a bin outside the plan shows why:

  • Always refused (red): the bin is in another warehouse, not active, not a bin, the wrong kind of location ("RCV-02 is a receiving location."), already holds the stock, or damaged goods into a non-damage bin. Select Scan another bin.
  • Off plan (amber): the bin is not one of the product's bins, is kept for another brand or product, or is full. What happens depends on the Put-away rule in Warehouse settings:
    • Suggest: select Confirm to put it there anyway. The put-away is recorded as off plan.
    • Enforce: only someone with Stocks › Override location can go ahead, by entering a Reason and selecting Confirm override. Everyone else selects Scan another bin.

Every put-away is recorded with who did it and when; off-plan put-aways and overrides are recorded with the reasons the bin was off plan, and overrides with the reason given.

Errors you may see

Message Why What to do
This stock is already put away. Use Move. The unit is not in a receiving location. Nothing to put away.
3PL stock is put away in 3PL. A 3PL customer's stock. Use the 3PL handheld.
Put-away applies to warehouses with location management on. The warehouse has no location management. Nothing to do here.
Nothing is left on this unit. The unit has been issued. Scan another unit.
This stock unit no longer exists. Scan the goods again. A Put away link was opened for a unit that has since been deleted or merged. Scan the goods' label.
Scan goods, not a bin. You scanned a bin at the goods step. Scan the goods' label.
Scan a bin, not goods. You scanned goods at the bin step. Scan the bin's label.
This stock changed while you were working. Scan it again. Someone moved or issued it after you scanned it. Scan the goods again.
Someone else is working on this stock. Another person is moving the same unit. Wait a moment and scan again.
Only {q} {unit} are here. The quantity is more than the unit holds. Enter a smaller quantity and scan the bin again.
A serial unit is moved whole. Enter {q}. Part of a serial product's unit was entered. Put away the whole unit.
This unit's quantity is stored in an old format. Move it whole. An earlier version saved the unit's quantity in a format that can't be split. Put away the whole unit.
This unit's quantity doesn't add up. Move it whole. The quantity left on the unit doesn't match its history, so splitting it would change the stock figures. Put away the whole unit.
Enter a quantity with no more than 3 decimal places. The part of the unit you entered is finer than 3 decimal places. Enter the part to at most 3 decimal places, or put away the whole unit.
Enter a quantity. The quantity is empty or zero. Enter how much you are putting away.
A reason is needed to override this. Enforce mode with the override, without a reason. Enter a reason.
You can't place stock here. The bin is refused for you. Scan another bin.
Something went wrong. Scan again. The screen could not reach OCTO Ops. Check the connection and scan again.
{bin} is being counted. Try again when the count of this bin is finished. A stock count is counting that bin, so Put away won't put stock into it or take stock out of it. Old pages and 3PL are not held; the count catches their changes when it is reviewed. Try again when the counter finishes the bin, or after an hour without a scan, when the count of that bin lapses.

Current limitations

  • Put-away moves stock within one warehouse. To move stock that is already in a bin, use Move.
  • The awaiting list is not on the menu yet; open it from the Awaiting put-away count on the Receipts list or the Put-aways pending tile on the Warehouse overview.
