Purchase Orders

Raise and look up purchase orders for consumable products.

On this page 6

A purchase order here records what you're buying against consumable products — the same purchase order process used by the Purchasing module, limited to consumables.

Before you start

In an organization that uses permission groups, you need Consumables › Purchase Orders › View (all or own) to see the list and an order's profile, and Consumables › Purchase Orders › Create to raise one. You don't need any Purchasing permission. With View (own) the list shows only the orders you raised. An order raised in Purchasing that isn't marked consumable doesn't open here.

The Purchase Orders list

Open Consumables > Purchase Orders.

Column Notes
ID The order's custom ID.
Name The order's name. Links to its profile.
Date The order date.
Status The order's status.

Sort defaults to the ID column, descending. The toolbar shows a Create icon when you hold the Create permission for Purchase Orders.

Create a purchase order

  1. From the list, select the Create icon.
  2. Leave Auto checked to let OCTO Ops assign the Purchase order ID, or uncheck it to type your own.
  3. Enter a Name.
  4. Optionally set the Date and Due date.
  5. Add product line items — only consumable-flagged products are offered.
  6. Submit the form.
Field Required What to enter
Purchase order ID No Leave Auto checked to assign one, or uncheck it and type your own.
Name Yes The order's name.
Date No The order date.
Due date No When the order is due.
Product line items No Product, Qty, Unit price, Discount per line. Only consumable products can be added.

What happens when you save

On success, you see a toast reading "Purchase order created successfully" and you're taken to the order's profile. A 422 validation error is shown together with "Check your records before submitting this form again." if Name is missing; the rest of the fields aren't validated.

The purchase order profile

Shows the order's Date, Status, and Total, followed by an items table (SKU | Product | Qty | Unit price | Line total), or "No items" if the order has none. Read-only.

Current limitations

  • There is no edit screen for these purchase orders.
  • There is no way to change a purchase order's status once it's created.
  • There is no print option for these purchase orders.
  • There is no Delete control.
