A Pick list compares what a transfer request asks for against the stock actually available, so you can check availability before fulfilling it.
Before you start
Access to Pick lists is controlled by the View, Create, and Edit permissions for Pick lists (each as all records or own records — own records means records you created). You need View to see the list and a profile, and Create to raise a pick list.
The Pick lists list
Open Warehouse > Pick lists. The list only shows pick lists you have permission to view.
When your organization has business units, the list shows the pick lists of the unit chosen in the header, and the card title names it. Select the filter (funnel) icon to choose All business units, your main business only, or another unit with its sub-units. The Custom ID carries its legal entity's prefix when it has one (PH-1), and a Business unit column is added.
| Column | Notes |
|---|---|
| Custom ID | The pick list's reference number. |
| Name | The pick list's name. |
| Store | The related warehouse. |
| Date | The pick list's date. |
| Status | The pick list's status. |
The toolbar shows a Create icon when you hold the Create permission for Pick lists.
Create a pick list
A pick list can only be created from a transfer request — there is no standalone create page reachable any other way.
- Review the comparison table of what the transfer request asks for against what is currently available.
- Complete the fields below.
- Save the pick list.
| Field | Required | What to enter |
|---|---|---|
| Name | No | Free text. |
| Custom ID | No | Leave Auto checked for OCTO Ops to assign the ID, or uncheck it and enter your own. |
| Business unit | No | Shown only when your organization has business units. It starts with the transfer request's business unit, else its From warehouse's owning unit, else the unit chosen in the header. |
| Description / Notes | No | Free text. |
What happens when you save
OCTO Ops saves the pick list's header, linked to the transfer request it was raised from. A pick list of a business unit that is, or sits under, a separate legal entity is numbered in that entity's own sequence.
The pick list profile
Opening a pick list from the list shows its profile. This is the least detailed profile page in the Warehouse module — it shows the record's raw product and status information without the readable names shown elsewhere in this module. With business units, it shows the Business unit, and the transfer request's number with its legal entity's prefix when it has one (PH-41).
The toolbar shows the Create icon (to start another pick list), only when you hold the Create permission.
An Edit icon was intended for this page but does not currently appear.
Errors you may see

Current limitations
- There is no Edit control on a pick list's profile in this version, even though an edit icon was intended for it.
- There is no Delete control on the Pick lists screens in this version.
- A pick list's profile shows raw product and status information rather than readable names, unlike the profile pages elsewhere in this module.
