Leave Management covers the taxonomy leave is organized under (leave categories and leave types), the requests employees submit for time off, and the leave days allocated to them.
Before you start
Human Resources is not governed by permission groups. Any member of an organization with the Human Resources module enabled can open every Leave Management screen, including approving and rejecting requests.
Leave categories
A leave category groups related leave types.
Open Human Resources > Leave Categories.
| Column | Notes |
|---|---|
| Name | The category's name. |
Sort defaults to the Name column, ascending. There is no create screen for leave categories — you can only rename an existing one.
Edit a leave category
- Select a category's edit icon from the Leave Categories list.
- Update the Name.
- Optionally update the Description.
- Select Save changes.
A toast confirms "Leave category updated successfully".
Leave types
A leave type is what an employee actually requests leave under (for example, annual or sick leave), optionally grouped under a leave category.
Open Human Resources > Leave Types.
| Column | Notes |
|---|---|
| Name | The leave type's name. |
| Category | The leave type's parent leave category, or "—". |
Sort defaults to the Name column, ascending. The toolbar shows a Create icon.
Create or edit a leave type
- Select the toolbar's Create icon (or an existing type's edit icon).
- Complete the fields below.
- Select Create leave type (or Save changes on edit).
| Field | Required | What to enter |
|---|---|---|
| Name | Yes | The leave type's name. |
| Leave category | No | The parent category. |
| Carry forward | No | Free text. |
| Increment | No | Free text. |
| Payment % | No | Free text. |
| Description | No | Free text. |
A toast confirms "Leave type created successfully" (or "updated" on edit). Carry forward, Increment, and Payment % are plain text fields, not restricted to numbers — enter figures consistently for your organization's own reference, since OCTO Ops does not validate or convert them.
If you submit a leave type with the Name left blank, watch for the warning toast rather than an inline message under the field — the on-page error for this particular field does not currently display.
Leave requests
A leave request is one employee's time-off request, made up of one or more leave lines.
Open Human Resources > Leave Requests. This list only shows requests that are still Pending — once a request is approved or rejected, it no longer appears here, and there is no other screen to see it again.
| Column | Notes |
|---|---|
| Employee | The requesting employee. Links to the request's profile. |
| Type | The leave type requested. |
| From | The start date. |
| To | The end date. |
| Hours | The hours requested. |
Sort defaults to the Employee column, descending. There is no Create button on this list — see Current limitations.
Submit a leave request
- Open the leave request form for the employee you're requesting on behalf of.
- For each leave line, choose a Leave type, and enter From, To, and Hours.
- Select Add another leave line for more lines, or remove a line with its delete icon.
- Optionally enter a Description per line.
- Select Submit leave request.
A toast confirms "Leave request submitted successfully" and you're returned to the Leave Requests list. Each submitted line is created as its own request, with status Pending.
This form is not linked from anywhere in Human Resources — you can only reach it if you're given a direct address for a specific employee. There is no field-level validation on this form; check your entries carefully before submitting.
Approve or reject a leave request
- Open a request from the Leave Requests list.
- Review its Employee, Type, From, To, Hours, and Description.
- Select Approve or Reject.
A toast confirms "Leave request approved" or "Leave request rejected", and you're returned to the Leave Requests list — where the request, no longer Pending, no longer appears.
Approve and Reject are always shown, regardless of the request's current status — there is nothing stopping you from approving or rejecting a request that has already been decided. No notification is sent to the employee either way.
Leave allocation
Leave allocation records the number of leave days given to an employee for one or more leave types, with no approval step of its own.
Allocate leave
- Open the leave allocation form.
- Choose the Employee.
- For each line, choose a Leave type and enter the Days.
- Select Add another leave type for more lines, or remove a line with its delete icon.
- Select Allocate leave.
A toast confirms "Leave allocated successfully" and you're returned to the same form, ready to allocate more. There is no field-level validation on this form; check your entries carefully before submitting.
This form is not linked from anywhere in Human Resources — you can only reach it by going directly to its address. There is also no list or profile screen showing what has already been allocated; once submitted, an allocation can't be reviewed from the UI.
Current limitations
- Leave Categories is edit-only — there is no screen to create a new leave category.
- The New Leave Type form's inline validation error for a blank Name does not display; rely on the warning toast instead.
- Leave Requests only ever shows Pending requests — once a request is approved or rejected, it disappears from the list, and there is no "all requests" or history view.
- Submit a leave request has no link anywhere in Human Resources; it can only be reached with a direct address for a specific employee, and it has no field-level validation.
- Approve and Reject on a leave request have no status guard — you can select either regardless of the request's current status, and neither sends a notification to the employee.
- Allocate leave has no link anywhere in Human Resources, no field-level validation, and no list or profile screen to review what has already been allocated.
