Jobs

Create a 3PL job for a customer, and see the receipts, issues, gate passes and billable items linked to it.

On this page 8

A job is a piece of work you do for a 3PL customer — receiving stock, issuing it, or both. It's the starting point most other 3PL records link back to.

Before you start

  • Add the customer first, under Customers — the job form's Customer field is required.
  • Any member of an organization with the 3PL module enabled can open and use this page; there's no separate permission for viewing or creating a job.

The Jobs list

Open 3PL > Jobs.

Column Notes
ID The job's reference number.
Name The job's name.
Customer The customer the job is for.
Date The job's date.
Status The job's status.
(View) Opens the job's profile.

The list sorts by ID, descending, by default. There's no search box, no filters, and no export on this list.

The toolbar shows a create icon.

Create a job

  1. From the Jobs list, select the create icon.
  2. Fill in the fields below.
  3. Save.
Field Required What to enter
Customer Yes The customer this job is for.
Name Yes A name for the job.
Type No Receipt (default) or Issue.
Date No The job's date.
Description No Free text.

What happens when you save

OCTO Ops assigns the job the next reference number automatically, marks it as a 3PL job, and gives it a starting status. You're returned to the job's profile with the toast "Job created successfully".

If a required field is missing, the form shows the error under that field (for example, "The customer id field is required.") and the toast "Check your records before submitting this form again." A server error shows a "Something went wrong!" dialog.

There is no edit screen for a job — once created, its details can't be changed from this module.

The job profile

Opening a job from the list shows its profile.

  • Job details — Customer, Date, Status, and Description (only shown if present) — all read-only.
  • Receipts (GRNs) — ID, Date, and Status for each receipt linked to the job, with a link to its profile. Shows "No receipts." when there are none.
  • Issues (GINs) — the same shape, linking to each issue's profile. Shows "No issues." when there are none.
  • Gate passes — ID, Truck, In time, and Out time for each gate pass linked to the job (no link to a gate pass profile from here). Shows "No gate passes." when there are none.
  • Billable items — Product, Qty, Unit price, and Line total, shown only when the job has billable items. There's no screen in 3PL to add or edit billable items.

The toolbar's Actions menu offers Add gate pass, which opens the gate pass creation form with this job already selected. The Print icon also appears but leads to an error page — see Current limitations. There's no edit or delete icon for a job.

Add a gate pass from a job

  1. From the job's profile, open the Actions menu and select Add gate pass.
  2. This job is preselected automatically. Complete the rest of the gate pass form — see Gate Passes for the fields and what happens when you save.

Errors you may see

Message Why What to do
"Check your records before submitting this form again." A required field was left blank when creating the job. Fill in the field flagged in red (usually Customer or Name) and save again.
"Something went wrong!" The server rejected the request for a reason other than a missing field. Note the specific message shown in the dialog and try again.

Current limitations

  • There's no way to edit a job once it's created.
  • The Print icon on a job's profile leads to an error page — no print page exists for jobs.
  • There's no delete option for a job.
  • There's no screen in 3PL to add or edit a job's billable items, even though existing ones are shown on the profile.
