A maintenance record tracks work due, or performed, on a billboard.
Before you start
Billboards is not governed by permission groups. Any member of an organization with the Billboards module enabled can create, view, and edit maintenance records.
The Maintenance list
Open Billboards > Maintenance. The list shows each record's Name, Date due, Date performed, and Status; select a row to open its profile. The toolbar shows a Create icon.
Create a maintenance record
- From the list, select the Create icon.
- Leave Auto checked to let OCTO Ops assign the Record ID, or uncheck it to type your own.
- Enter a Name.
- Choose the Billboard the record is for — only billboards are offered.
- Optionally set the Date due.
- Optionally enter a Description.
- Submit the form.
| Field | Required | What to enter |
|---|---|---|
| Record ID | No | Leave Auto checked to assign one, or uncheck it and type your own. |
| Name | Yes | The record's name. |
| Billboard | No | Pick from your organization's billboards. |
| Date due | No | When the work is due. |
| Description | No | Free text. |
On success, you see a toast reading "Maintenance record created successfully" and you're taken to the record's profile.
Edit a maintenance record
Open the record and select Edit. The same fields as Create are shown, pre-filled.
The maintenance record profile
Shows the record's Name and Status, an Edit link, Date due, Date performed, and Description.
Current limitations
- There is no way to change a maintenance record's status from this module — no start, hold, complete, or cancel control appears on these screens. A record's status can only move on from its starting state through the separate, top-level Maintenance module.
