A Transfer records stock moving from one warehouse to another. Creating one only plans the move; a separate picking step is what actually takes the stock.
Before you start
- Set up at least two Warehouses before creating a transfer — you need somewhere to move stock from and to.
- Access to Transfers is controlled by the View, Create, and Edit permissions for Transfers (each as all records or own records — own records means records you created). You need View to see the list and a profile, Create to raise a transfer, and Edit to pick it.
The Transfers list
Open Warehouse > Transfers. The list only shows transfers you have permission to view.
| Column | Notes |
|---|---|
| Custom ID | The transfer's reference number. |
| From | The originating warehouse. |
| To | The destination warehouse. |
| Date | The transfer date. |
| Status | One of Pending, Picking, Picked, Completed, or Canceled. |
The toolbar shows a Create icon when you hold the Create permission for Transfers.
When your organization has business units, the list shows the transfers of the unit chosen in the header, and the card title names it. Select the filter (funnel) icon to choose All business units, your main business only, or another unit with its sub-units. The Custom ID carries its legal entity's prefix when it has one (PH-1), and a Business unit column is added. Transfers made by 3PL and the handheld's immediate moves belong to your main business.
Raise a transfer
- From the Transfers list, select the Create icon.
- Complete the fields below.
- Add product line items using the line item editor. Quantities only — there is no pricing on a transfer's line items.
- Save the transfer.
| Field | Required | What to enter |
|---|---|---|
| From warehouse | Yes | The originating warehouse. |
| To warehouse | Yes | The destination warehouse. |
| Name | No | Free text. |
| Date | No | The transfer date. |
| Description / Notes | No | Free text. |
| Business unit | No | Shown only when your organization has business units. It starts with the unit chosen in the header, then follows the From warehouse's owning unit until you choose a unit yourself. On a transfer created from a transfer request it shows the request's business unit and can't be changed. |
If you reach this form from a transfer request, the From and To warehouses are locked to the ones on that request, and the line item editor is replaced with a table of the request's own lines, where you can only adjust the quantity to transfer for each one. With business units, the transfer belongs to the request's business unit.
What happens when you save
- OCTO Ops creates the transfer with a status of Pending. No stock is moved yet.
- If you created the transfer against a transfer request, that request is marked as having a transfer created for it and its own status changes to Completed.
- A transfer of a business unit that is, or sits under, a separate legal entity is numbered in that entity's own sequence and shows its prefix; every other transfer continues your organization's numbers. A transfer created from a transfer request is named after the request's number, with its prefix, for example Transfer request - PH-4.
- You return to the transfer's profile, where picking happens next.
Pick a transfer
Open the transfer's profile and select the Pick option. Picking needs the Edit permission for Transfers.
Each requested line shows the available stock lots you can pick from, with a checkbox and a bounded quantity-to-pick input per lot. Submitting a pick replaces what was previously selected for that transfer with your new selection, and the transfer's overall status is recalculated from the lines picked so far.
Unlike the pick page for Issues, reopening a partially picked transfer does not show your previous selections already checked, and the transfer's profile does not show a per-line picked indicator. You can still tell the transfer's overall progress from its Status.
The transfer profile
Opening a transfer from the list shows its profile, with its From and To warehouses, date, description, status, and line items. With business units, it also shows the Business unit, and the number carries its legal entity's prefix.
The toolbar shows the Create icon (to start another transfer) and a Print option, each only when you hold the matching permission.
Selecting Print on a transfer's profile does not currently open a printable page in this version.
Transfer from scanned stock
There are two further ways to move stock without going through the create form and picking step above:
- Scanned barcodes against a transfer request: creates the paired stock movement for a transfer request directly from scanned stock — a negative record at the origin warehouse and a matching positive record at the destination, linked to each other. The transfer belongs to the request's business unit and is numbered in its legal entity's sequence.
- Immediate move by ID or barcode: moves a single stock record straight to another warehouse by its identity or its barcode, without creating a Pending transfer first. These belong to your main business.
- Location-only move: moves stock between locations in two steps, supporting partial quantities, and re-points any linked sales reservation to the new location. These belong to your main business.
These are reached outside the pages described in this guide.
Errors you may see
| Message | What it means | What to do |
|---|---|---|
| "Choose an active business unit." | The unit was deactivated, or is not one of yours. | Choose another unit, or your main business. |
| "Business units are not set up for this organization." | A business unit was sent, but your organization has none active. | Leave the field empty, or set up business units first. |
Current limitations
- A defect carried over from the legacy system means the Transfers list can, in some circumstances, include records that should have been scoped to your organization only. This is a known defect kept for parity, not a new one.
- There is no Delete control on the Transfers screens in this version.
- Selecting Print on a transfer's profile does not open a printable page — no dedicated print screen exists for Transfers.
- Reopening a partially picked transfer does not show what was already picked, and the profile has no per-line picked progress indicator.
- Picking and moving stock here does not check whether a Sales order has already reserved that stock — see Stock availability in the Sales guide.
- There is no separate barcode/QR intake screen beyond the create form and the scanned/immediate/location moves described above.
