Contacts

Register and maintain contacts, whether they belong to a customer or stand on their own.

On this page 7

A contact is a person — either linked to one of your customers, or standalone with no customer at all.

Before you start

Any member of an organization with the CRM module enabled can use this page; there's no separate permission for viewing, creating, or editing contacts.

The contacts list

Open CRM > Contacts. Columns: Name (links straight to the contact's edit screen, not their profile), Customer, Telephone, Email, Position, Status. The list sorts by Name, ascending, by default.

The toolbar shows only a create icon; there's no Actions menu on this list.

Add a contact

You can reach this screen from the create icon on the Contacts list, or from the Add contact action on the customers list or a customer's profile — the latter pre-fills the Customer field.

  1. Select the create icon (or Add contact).
  2. Complete the fields below.
  3. Submit the form.

Note

There's no Tags field on this form — contacts can't be tagged. See Current limitations.

Edit a contact

  1. Open the contact's profile and select Edit.
  2. Update any of the fields from Add a contact.
  3. Submit the form.

You return to the contact's profile.

View a contact (the profile page)

Open a contact from the list to see their profile: name, title, status, Customer (links to the customer's profile, shown only when the contact is linked to one), Department, Email, Mobile, phone numbers, Fax (if set), and Description. There's no tags section.

The profile has its own Edit and Link to customer buttons. The toolbar separately also shows a create icon and an edit icon; the edit icon opens the same Edit screen as the Edit button.

This is a separate, single-field screen — it doesn't go through Edit.

  1. Open the contact's profile and select Link to customer.
  2. Pick the Customer to link the contact to. If the contact is already linked to one, it's pre-selected.
  3. Submit the form.

On success you see "This contact has been linked to the customer" and return to the contact's profile.

Current limitations

  • Contacts can't be tagged. Universal document tags are available on customers only.
  • Nothing on this page can be deleted. There's no Delete option for a contact.
  • The Contacts list links a contact's name straight to its edit screen rather than to its profile.
